- Amount (Currency): Actual cost in USD. Formatted with currency symbol and two decimal places.
- Budgeted Amount (Currency): Pre-approved weekly allocation for this category, pulled from the ‘Budget Allocation’ sheet via VLOOKUP.
- Cumulative Spend (Currency): Total spent in current week for this category, calculated using SUMIFS.
- Remaining Balance (Currency): Budgeted minus Cumulative Spend. Uses a simple subtraction formula: =BudgetedAmount - CumulativeSpend.
- Approved? (Dropdown): “Yes” / “No” to indicate whether the expense has been reviewed and authorized by the project manager.
- Notes (Text): Optional field for internal comments or documentation references.

- Pending Approval (Light Blue Border): Applied to rows where “Approved?” is blank or “No.” Ensures accountability.
- Highlight Recent Entries (Green Text): Automatically applies to entries within the last 48 hours for quick review.
