The Project Timeline Sheet contains columns for:

  • Milestone Name (e.g., “Literature Review Complete”)
  • Target Date (Date type)
  • Actual Date (Date type, auto-populated from Daily Tasks Log when linked milestone is marked “Completed”)
  • Status: Text ("On Track", "Delayed", "Ahead")
  • Risk Level: Dropdown ("Low", "Medium", "High")

The Weekly Summary Sheet aggregates data using formulas and includes KPIs such as:

  • Total Tasks Completed This Week (COUNTIF)
  • Average Hours Spent Per Task (AVERAGEIFS)
  • Milestone Completion Rate (% of targets met)
  • Client Satisfaction Score (manually entered by researcher, scale 1–5)

Conditional Formatting

  • Milestone Status: Green for "On Track", Amber for "Delayed", Red for "High Risk".
  • Time Spent: Yellow fill if >8 hours/day per task (potential burnout flag).
  • Status Column: Green background if “Completed”, Gray if “Not Started”.
  • Client Satisfaction Score: Uses color scale from red (1) to green (5).

Instructions for the User

  1. Researchers: Update the Daily Tasks Log daily. Mark tasks as completed and link them to milestones in the Project Timeline sheet. Do NOT edit the Weekly Summary sheet—it auto-updates.
  2. Clients: Only access the Weekly Summary and Project Timeline sheets. The Daily Tasks Log is for internal use only.
  3. Each Friday, researchers must review client notes and update any feedback in the Client Notes & Feedback sheet before exporting the template as a PDF or print-ready version to send to clients.
  4. If a milestone is delayed, enter a brief reason under “Risk Level” → “High”. The system will highlight it automatically for client awareness.
  5. Do not delete rows. Use filters instead of sorting raw data to preserve formula integrity.
