Compact Risk Management To-Do List Excel Template Description

This Excel template is a Compact Risk Management To-Do List specifically designed for professionals in project management, operations, compliance, or any field requiring proactive identification and mitigation of potential threats. The integration of Risk Management principles with a streamlined To-Do List structure ensures clarity, efficiency, and real-time tracking—all within a minimalistic and space-efficient design.

The template follows the "Compact" style philosophy by eliminating cluttered formatting, reducing redundant columns, and optimizing layout to allow users to focus on key risk-related actions. It is built for fast navigation and daily use in dynamic environments where decision-makers need immediate visibility into open risks, responsibilities, deadlines, and mitigation progress.

Sheet Names

The template consists of the following three essential sheets:

  • Master Risk List: Central repository for all identified risks with associated actions and status.
  • To-Do Actions: A dynamic view of actionable items derived from the risk list, optimized for daily task management.
  • Dashboard Summary: A high-level overview of risk exposure, priority levels, and completion rates using charts and key metrics.

Table Structures & Columns

All tables are structured to ensure data integrity, scalability, and ease of use. Each column is clearly labeled with a consistent naming convention (e.g., Risk ID, Priority Level).

Master Risk List Table Structure

< th>Date Identified < th>Mitigation Action Required?< td>R-002 < td >Vendor delay in deliverables < td >Supply Chain < td >Medium < td >High
Risk ID Risk Description Category Probability Impact Priority Level (1–5) Owner
R-001Data breach due to outdated softwareSecurityHighCritical5J. Smith2024-03-15Yes
4M. Lee2024-03-18No

The Risk ID is a unique identifier (e.g., R-xxx) for tracking. Risk Description provides a clear, concise summary of the threat. The Category classifies risks (e.g., Security, Financial, Operational). Probability and Impact are rated on predefined scales (1–5), with combinations used to determine Priority Level.

To-Do Actions Table Structure

This sheet is derived from the Master Risk List and includes only actionable tasks. It excludes static risks without mitigation plans.

Data Types & Validation Rules

  • Risk ID, Action ID: Text (fixed-length string, 6 characters)
  • Probability/Impact: Dropdown list with values 1–5 (1 = Low, 5 = High)
  • Priority Level: Calculated from Probability and Impact using a formula
  • Date fields: Date data type with automatic formatting
  • Status fields: Dropdown with options: "Pending", "In Progress", "Completed"
  • All text cells use left alignment; dates are formatted as DD/MM/YYYY.

Formulas Required

The following formulas ensure dynamic functionality and automatic updates:

  • Priority Level (Master Sheet): =IF(AND(Probability>=4, Impact>=4), 5, IF(AND(Probability>=3, Impact>=3), 4, IF(AND(Probability>=2, Impact>=2), 3, IF(PROBABILITY=1 OR IMPACT=1,"1",2))))
  • Action Status Update (To-Do Sheet): Uses VLOOKUP to match Risk ID with Master List to auto-fill action descriptions.
  • Due Date Calculation: =DATE(YEAR(TODAY()), MONTH(TODAY()) + 1, 1) for next month's default (configurable).
  • Total Open Actions: =COUNTIF(Status:Status, "Pending") in the To-Do sheet.
  • Priority Summary: =SUMPRODUCT((Priority Level=5)*1) for high-priority counts.

Conditional Formatting

The template applies intelligent conditional formatting to highlight critical items:

  • Pending Actions (To-Do Sheet): Cells in Status column with "Pending" are highlighted in red.
  • High Priority Risks: Rows where Priority Level = 5 are shaded yellow.
  • Due Soon Alerts: Rows where Due Date is within 3 days of today turn orange with a border.
  • Mitigation Status: "Completed" entries in the To-Do sheet turn green with a checkmark icon (using Excel's conditional formatting icons).

Instructions for the User

User Workflow:

  1. Open the template and navigate to Master Risk List.
  2. Add new risks using the provided form fields; assign a unique ID, category, probability, impact, and owner.
  3. Use the auto-calculated priority level to classify risks by urgency.
  4. In the To-Do Actions sheet, all risks with "Mitigation Action Required?" = Yes are automatically populated as tasks.
  5. Assign owners, set due dates (use calendar or auto-fill), and update status as work progresses.
  6. Regularly review the Dashboard Summary sheet for real-time metrics on risk exposure and progress.
