The template is built with a Simple design philosophy—minimalist in layout but powerful in functionality. The structure is intuitive enough for non-accountants yet detailed enough to serve as a foundation for investor presentations or internal reporting.

Formulas Required

The template uses simple yet effective formulas to maintain data integrity and provide insights:

  • Asset ID Auto-Generation: =IF(A2="", "ASSET-"&TEXT(COUNTA(A:A)+1,"000"), A2) (placed in Cell A2, dragged down) — ensures sequential numbering.
  • Current Value Calculation: In a new column "Current Value" (using straight-line depreciation): =IF(ISBLANK(D2), "", C2 - ((C2 / E2) * (TODAY() - D2)/365)) — calculates depreciated value.
  • Status Color Code: Used in conditional formatting to highlight statuses: =F2="In Use" → Green; =F2="Under Repair" → Orange; =F2="Idle" → Gray.
  • Total Asset Value by Category: On the Assets Overview sheet: =SUMIFS(AssetRegister!C:C, AssetRegister!B:B, H2) where H2 contains a category (e.g., "Hardware").

Conditional Formatting Rules

  • Status Colors: - Green: In Use - Orange: Under Repair - Gray: Idle or Disposed
  • Purchase Date Warning: Highlight cells in red if purchase date is more than 5 years ago (to flag obsolete assets).
  • Cost Threshold Alert: Highlight asset costs above $1,000 in bold and yellow background to draw attention.
  • Depreciation Completion: If Current Value ≤ $1, highlight in red to indicate the asset may be fully depreciated.

User Instructions

  1. Open the template and save it with your startup name.
  2. Navigate to the Asset Register tab and begin entering assets one by one. Use dropdowns where available to maintain consistency.

  5. Update the "Last Maintenance Date" quarterly or after any repair.
  6. The dashboard on Assets Overview will auto-update with formulas and charts as you add data.
  7. Use the Startup Budget Plan sheet to allocate future asset purchases within your overall funding plan.
  8. To track depreciation, use the optional Depreciation Schedule tab for a year-by-year view of value reduction.
