Formulas Required

  • VLOOKUP / XLOOKUP: To pull "Monthly Budget Allocated" from the Strategy Overview sheet into the Budget vs Actual table based on Goal ID.
  • SUMIFS(): To total all invoice amounts for a specific goal across multiple months. Example: =SUMIFS(InvoiceTracker[Amount Invoiced], InvoiceTracker[Strategic Goal ID], "S-001")
  • IF + AND Logic: For status evaluation in Budget vs Actual (e.g., =IF(E2-F2<0, "Under", IF(E2-F2>0, "Over", "On Target")))
  • DATEDIF(): To calculate days overdue for invoices (if Due Date is passed and Status is “Pending”).
  • Formula in Dashboard (KPIs): Use of COUNTIFS to track completed strategies vs total.

Conditional Formatting

  • Status Column (Strategy Overview): Color-coded cells — Green for “Completed”, Yellow for “In Progress”, Red for “Delayed”.
  • Budget Variance Column (Sheet 3): If variance is negative (<0), display in green; if positive (>0), use red. Use data bars to visualize the magnitude of over/under spend.
  • Overdue Invoices: Apply red fill and bold text for any invoice with a Due Date earlier than today and Status ≠ “Paid”.
  • Progress Bars (Dashboard): Use data bars in KPI cells to show completion percentage of strategic goals.

Instructions for the User

  1. Monthly Setup: At the beginning of each month, update the "Strategy Overview" sheet with new monthly targets and budget allocations.
  2. Invoice Entry: Whenever a deliverable is completed and an invoice is generated, enter it into the "Monthly Invoice Tracker" with correct date and link to its associated strategy goal.
  3. Update Status: Manually update the “Status” column in Strategy Overview after reviewing progress (e.g., after team meetings).
  4. Run Variance Analysis: The "Budget vs Actual" sheet updates automatically using SUMIFS and other formulas. Review variances and document reasons in the Notes sheet.
  5. Review Dashboard: Use the Performance Dashboard to assess overall health of strategy execution, identify bottlenecks, and prepare for leadership reviews.
  6. Save & Share: Save a new copy each month with filename format: “Monthly_Strategy_Planning_Invoice_MMYYYY.xlsx” for historical tracking.
