Weekly Task Scheduling Shopping List Excel Template

This comprehensive Excel template combines the functionality of a weekly task scheduler with a shopping list structure. Designed specifically for individuals or small teams managing both personal and household responsibilities, it seamlessly integrates task management with essential procurement planning. By leveraging the simplicity of a shopping list, users can efficiently track what needs to be bought while simultaneously scheduling time-based tasks for each week. This hybrid approach ensures that every item on the list has an assigned deadline, priority level, and responsible person — making it ideal for weekly planning cycles.

Sheet Names

  • Tasks & Shopping List (Main): The primary worksheet where all weekly tasks and shopping items are organized.
  • Weekly Summary: Aggregates data from the main sheet, showing total tasks, completed items, overdue entries, and spending estimates.
  • Task Calendar: A visual Gantt-style view of task timelines across the week (Mon–Sun).
  • Settings & Filters: Stores user-specific preferences such as default priorities, time zones, currency settings, and category groupings.

Table Structures and Column Definitions

The main sheet features a dynamic table with the following columns:

Data Types and Validation Rules:

  • Task ID: Auto-generated sequential number using a formula (e.g., =IF(A2="", "", "T" & TEXT(ROW()-1, "000")))
  • Description: Text input limited to 150 characters.
  • Type: Dropdown list: “Task” or “Shopping” with validation.
  • Category: Dropdown populated from a defined list (e.g., Groceries, Utilities, Laundry, Fitness).
  • Due Date: Date data type; auto-calculates next week's start if user enters “This Week”.
  • Priority: Dropdown: Low, Medium, High, Urgent — triggers conditional formatting.
  • Status: Dropdown: Not Started / In Progress / Completed.
  • Cost: Currency format (e.g., $12.50) with default of 0 if not applicable (e.g., tasks).
  • Estimated Time: Numeric input in minutes; validated to be positive integers.

Formulas Required

  • Auto-Task ID Generator: In cell A2 (for row 2 onwards), use: =IF(ROW()-1=1, "T001", IF(A3="", "", "T" & TEXT(ROW()-1, "000"))) — auto-increments per row.
  • Due Date Auto-Fill: If user types “This Week” in Due Date column, formula: =DATE(YEAR(TODAY()), MONTH(TODAY()), DAY(TODAY()) + 7 - WEEKDAY(TODAY(), 2)) — calculates the end of the current week.
  • Cost Total (for Shopping Only): In Summary sheet, use =SUMIFS(Main!$K:$K, Main!$I:$I, "Shopping") to calculate total shopping expenses.
  • Task Completion Rate: =COUNTIFS(Main!$H:$H,"Completed")/COUNTA(Main!$H:$H) in the Summary sheet.
  • Priority Counting: Use =SUMPRODUCT(--(Main!$F:$F="Urgent")) to count urgent tasks.

Conditional Formatting Rules

  • Priorities:
    • Urgent: Red text with yellow background.
    • High: Orange background, bold text.
    • Moderate: Light green background.
    • Low: Gray background, no highlight.
  • Status:
    • In Progress → Yellow fill with “Progress” label in cell (right of status).
    • Completed → Green checkmark icon and solid green.
    • Not Started → Light blue background.
  • Overdue Tasks: If due date is earlier than today, cell turns red and displays “OVERDUE” in bold.
  • Tasks with >60 mins estimated time: Highlight in orange to flag long-duration tasks.
