All date and time fields are stored as DateTime (Text or Date) format for precision. The "Status" column uses a dropdown list for standardized values: In Use, Maintenance Required, Lost/Stolen, Decommissioned, On Hold.

Data Types & Formulas

  • ID (Text): Auto-generated using a formula: =CONCATENATE("ASSET-", TEXT(ROW()-1,"000")) to ensure uniqueness.
  • Last Updated: Automatically populated via =NOW() in a cell and formatted as "dd/mm/yyyy hh:mm".
  • Asset Age (in Days): Formula: =IF(A2="", "", TODAY()-DATEVALUE(F2)) — calculated from the Purchase Date column.
  • Value Summary: Uses SUMIFS to calculate total value of assets by status or department.
  • Status Color Codes: Conditional formatting based on status values (see below).

Conditional Formatting Rules

  • If Status = "Maintenance Required", highlight row in yellow with red text.
  • If Status = "Lost/Stolen", highlight row in red and bold.
  • If asset age > 365 days, apply light gray background to flag older equipment needing review.
  • Rows where the assigned user is blank are highlighted in orange with a warning icon (using conditional format with text).
