The goal of this template is to enable real-time visibility into stock levels, track movements across departments, and support cross-functional communication through clear data structures and collaborative features. With minimal formatting complexity and consistent layout design, the template reduces errors caused by inconsistent entries or misinterpretation of data.

Sheet Names

• Inventory Master: Central database of all inventory items with static attributes.
• Stock Movements: Records every addition, removal, or transfer of goods (in/out).
• Team Dashboard: A summary view showing current stock levels, low-stock alerts, and movement trends.
• User Input Guide: Instructions and best practices for team members to use the template effectively.

Table Structures & Data Types

Each sheet contains well-defined tables with consistent data types to ensure accuracy and interoperability:

1. Inventory Master Table

Item ID: Text, 4-character code for identification.
Description: Text, up to 100 characters.
Category: Text (e.g., Electronics, Tools), limited to predefined values using data validation.
Unit of Measure: Dropdown list with options like "Units", "Kgs", "Pieces".
Reorder Level & Current Stock: Numeric integers; used for stock threshold alerts.
Supplier Name: Text, optional but recommended for traceability.

2. Stock Movements Table

Movement ID: Auto-generated as “MV-YYYY-MM-DD-XX” (e.g., MV-2024-04-15-01).
Type: Dropdown with options — "Inbound", "Outbound", "Transfer".
Quantity: Integer; cannot be negative.
Date & Time: Auto-populated via system date/time or manually entered.
Location From/To: Text fields (e.g., “Warehouse A”, “Distribution Center”).

Formulas Required

The template uses simple, transparent formulas to automate calculations and ensure real-time updates:

• Auto-Update of Stock Levels: Whenever a new movement is added in the Stock Movements sheet, inventory master updates automatically via linked cells (using structured references).

Conditional Formatting

To enhance visibility and support team collaboration, the template applies dynamic conditional formatting:

• Red Highlight for Low Stock: When current stock drops below reorder level in the Inventory Master sheet.
• Green for Normal Levels: Between reorder level and max safe stock (assumed at 50% above reorder).
• Yellow Highlight on Movement Type “Transfer”: To emphasize internal shifts between locations.
• Frozen Headers in Team Dashboard: Ensures all team members see key columns without scrolling.
• Highlight New Movements (Last 24 Hours): Uses a formula to flag entries based on date, useful for daily check-ins.

Instructions for the User

All team members should follow these simple steps:

1. Log in to the shared Excel file via Google Sheets or Microsoft 365 (cloud-based).
2. Add new items to the Inventory Master sheet only if they are not already listed.
3. Update stock movements: Use the Stock Movements sheet to record every item transfer, inbound delivery, or outbound order.
4. Check the Team Dashboard daily for low-stock alerts and trends in movement volume.
5. Use dropdowns and data validation: Prevent typos or incorrect entries by limiting options (e.g., only "Inbound", "Outbound").
6. Save frequently and share the file with all team members via email or cloud storage (e.g., OneDrive, Google Drive).
7. Weekly review meetings: Use the dashboard to discuss stock performance and plan restocking.
