In traditional time management tools, users often track hours per task or prioritize tasks with lists or calendars. This template goes further by organizing daily, weekly, or monthly time allocations into three key categories: Time Assets (available time), Time Liabilities (time committed to tasks), and Time Equity (remaining free time for rest, planning, or personal development).
SHEET NAMES
- Main Balance Sheet: The primary dashboard showing daily/weekly time allocations in a clean balance sheet format.
- Task Log: A detailed table where users input specific tasks, durations, and associated categories (e.g., work, family, self-care).
- Time Summary: Aggregated data showing weekly or monthly time distribution with key metrics like total hours worked, idle time, and productivity index.
- Settings & Filters: A configuration sheet to customize categories, default time units (hours/minutes), and report frequency.
TABLE STRUCTURES AND COLUMN DEFINITIONS
The Main Balance Sheet features a three-column table with the following structure:

Each row corresponds to a day or week, and the columns represent:
- Time Assets (Available): Default set to 8 hours/day (or configurable via settings). Data type: Numeric (hours).
- Time Liabilities (Used): Sum of all time committed to tasks. Data type: Numeric (hours). Aggregated from Task Log.
- Time Equity (Remaining): Calculated as Assets minus Liabilities. Formula: =B2-C2.
The Task Log table contains:
- Task Name (Text, up to 100 characters)
- Date/Time (Date and Time format)
- Dur. (Hours) (Numeric, decimal allowed)
- Category (Dropdown: Work, Personal, Learning, Family, Health, Leisure)
- Status (Text: Completed / Ongoing / Delayed)
FORMULAS REQUIRED
- Total Time Liabilities per Day: =SUMIFS(TaskLog!D:D, TaskLog!B:B, A2, TaskLog!C:C, "Work")
- Weekly Total Time Equity: =SUM(MainSheet!F:F) - SUM(MainSheet!I:I)
- Productivity Index (Daily): =IF(E2>0, (F2/E2)*100, 0) → expressed as a % of time equity to liabilities.
- Auto-populate Time Assets: In Main Sheet, set to 8 for standard workdays (configurable in Settings).
CONDITIONAL FORMATTING
- Time Equity Color Coding: If remaining time < 1 hour → Red; between 1–3 hours → Yellow; ≥3 hours → Green.
- Limited Time Liabilities: If time used exceeds 8 hours (daily), highlight in Orange with warning text.
- High Productivity Days: If productivity index ≥ 70%, background turns light blue.
INSTRUCTIONS FOR THE USER
User instructions are clearly laid out in the Settings & Filters sheet:
- Create a new entry in Task Log: Enter task name, date, duration (e.g., 2.5), category, and status.
- Daily Update: At the end of each day, refresh the Main Balance Sheet automatically via formulas.
- Weekly Review: Check Time Equity to identify days with low or high time flexibility. Use this to adjust future planning.
- Categorize Tasks: Assign tasks to relevant categories for better time tracking and analysis.
- Edit Settings: Modify default hours (e.g., 7 hours for part-time work) or change the report period (daily, weekly).
