Table Structures & Column Definitions
The core data structure resides in the Time Tracker (Main) sheet. The table is structured as follows:
| Date | Task Name | Start Time (HH:MM) | End Time (HH:MM) | Duration (Hours) | Status | Category th> | Description th> |
|---|---|---|---|---|---|---|---|
| 2024-04-05 | Project Planning Meeting | 10:30 AM | 11:15 AM | 45 min | Pending | ||
| 2024-04-05 |
All fields are structured to support accurate time tracking. The Date field uses standard date format (YYYY-MM-DD), Start and End Times use HH:MM format, Duration is auto-calculated, and Status reflects task progress (e.g., Completed, In Progress, Delayed). Category allows classification such as Work, Personal Development, Family Time, Meetings, etc., enabling further analysis.
Data Types & Formulas
Key formulas are embedded in the template to automate data processing:
- DURATION (Hours): =IF(AND(C2="",D2=""), "", TEXT((HOUR(D2) - HOUR(C2)) + (MINUTE(D2) - MINUTE(C2))/60, "0.0"))
- Task Completion Rate: In the Task Prioritization sheet: =COUNTIF(Status, "Completed") / COUNTA(Status)
- Total Hours per Day: =SUM(Duration) across a day in Weekly Summary
- Average Duration by Category: =AVERAGEIFS(Duration, Category, "Work")
- Idle Time Detection: A formula flags entries where duration is less than 10 minutes and status is “In Progress”.
Conditional Formatting Rules
- Red Highlight for Overdue Tasks: If End Time > Today’s time, the row turns red.
- Green for Completed Tasks: When Status is “Completed,” cells turn green with a subtle glow effect.
- Yellow Alert on Long Tasks (>3 hours): Any duration exceeding 3 hours highlights in yellow to signal potential time inefficiencies.
- Blue Background for Personal Time: All tasks tagged with “Personal Development” or “Family Time” have a soft blue background.
