Travel Planning Chore Chart – Data Version Excel Template
The Travel Planning Chore Chart – Data Version is a sophisticated and highly organized Excel template designed to merge the logistical demands of travel planning with the accountability structure of a chore chart. This unique hybrid template empowers families, groups, or teams traveling together—whether for vacation, business trips, or group excursions—to assign responsibilities clearly, track progress in real time, and ensure no task is overlooked during pre-trip preparation or while on the road. Unlike traditional travel checklists that merely list items to pack or places to visit, this Data Version transforms planning into a dynamic data-driven system where every chore is tracked numerically, visually analyzed, and automatically updated.
Sheet Names
The template contains four meticulously designed sheets:
- Travel Dashboard: A centralized overview with visual summaries, progress bars, and key metrics.
- Chore Log (Data): The primary data table where all chore assignments are recorded and updated.
- Trip Itinerary: A structured timeline of travel events including flights, accommodations, activities, and meal plans.
- Reference & Instructions: A guide with color codes, formula explanations, troubleshooting tips, and example entries.
Table Structures and Columns (Chore Log – Data)
The core of this template is the Chore Log (Data) sheet. It contains the following columns with specified data types:
| Column | Data Type | Description |
|---|---|---|
| A: Chore ID | Number (Auto-generated) | Unique identifier for each chore (e.g., 001, 002…) |
| B: Chore Title | Text | Name of the task (e.g., "Book Flights," "Pack Toiletries") |
| C: Assigned To | Text (Dropdown) | Name of person responsible; dropdown list from team members |
| D: Due Date | Date | |
| E: Status | Text (Dropdown) | |
| F: Priority Level | Text (Dropdown) | |
| G: Category | Text (Dropdown) | |
| H: Notes | Text (Multi-line) | |
| I: Completion Date | Date (Auto-filled) | |
| J: Days Until Due | Number (Formula) |
Formulas Required
- I9 (Completion Date):
=IF(E9="Completed", TODAY(), "")
Automatically records the date when status is changed to "Completed." - J9 (Days Until Due):
=D9-TODAY()
Displays negative values for overdue tasks, positive for upcoming. - Travel Dashboard – Progress Summary:
Total Tasks:=COUNTA(ChoreLog!A:A)-1
Completed:=COUNTIF(ChoreLog!E:E,"Completed")
Completion Rate:=IFERROR(COUNTIF(ChoreLog!E:E,"Completed")/COUNTA(ChoreLog!A:A),0) - Conditional Sum by Category:
=SUMPRODUCT((ChoreLog!G:G="Packing")*(ChoreLog!E:E="Completed"))
Used to track progress per category on the Dashboard.
Conditional Formatting Rules
- Due Date Red/Amber/Green:
- Red if Days Until Due < 0 (overdue)
- Amber if Days Until Due ≤ 3 and ≥ 0
- Green if Days Until Due > 3 - Status Color Coding:
"Not Started" = Light Gray, "In Progress" = Yellow, "Completed" = Light Green - Priority Highlight:
High Priority cells shaded in red font; Low Priority in light blue. - Aging Task Alert:
Any task older than 7 days without update triggers a bold warning message on the Dashboard.
Instructions for the User
- Open the template and navigate to “Reference & Instructions” for color legends and dropdown instructions.
- Add team members’ names in the “Assigned To” dropdown list under Data Validation (Tab: Data > Data Validation).
- Enter all pre-travel chores manually into the Chore Log (Column A–H). Do not delete rows — insert new ones as needed.
- Update the "Status" column daily or after completing a task. The “Completion Date” will auto-fill.
- Check the Travel Dashboard for your team’s progress percentage, overdue tasks, and category-wise workload balance.
- Use the filter arrows in each column to sort by person, priority, or category—ideal for weekly accountability check-ins.
- If a trip is extended or changed, update dates in “Trip Itinerary” sheet; this will automatically adjust due dates on linked chores via formula references.
