All columns use standard Excel data types: Task ID is a number, Description and Assigned To are text, Type is a dropdown (Pre-Trip, During-Trip, Post-Trip), Due Dateis formatted as date, and Status is a dropdown with values: Not Started / In Progress / Completed.
Formulas Required
=COUNTIF(StatusColumn,"Completed")/COUNTA(StatusColumn): Used in the Dashboard to calculate overall task completion percentage.
=IF(DueDate: Flags overdue tasks with "OVERDUE" text next to the due date column using an adjacent helper column.
=SUMIF(TravelLog[Category],"Accommodation",TravelLog[Cost]): Used in Dashboard for budget tracking by category.
=TEXTJOIN(", ",TRUE,IF(TravelTasks[Assigned To]=A2, TravelTasks[Description],"")) (array formula): Lists all tasks assigned to a person on the Dashboard for personal accountability overview.
Conditional Formatting
Conditional formatting enhances usability without complexity:
Status Column: Green fill for "Completed", yellow for "In Progress", red for "Not Started".
Due Date Column: Red font if date is past today and Status ≠ Completed.
Assigned To Names: Alternating light blue backgrounds per person to visually group tasks by individual responsibility.
Total Completion on Dashboard: Progress bar using data bars based on the completion percentage formula (0-100%).
User Instructions
How to Use This Template:
1. Open the template and go to the Travel Tasks sheet.
2. Fill in all required tasks under "Description".
3. Assign each task using the dropdown menu under "Assigned To" (add names if needed).
4. Set a realistic due date for every task, especially pre-trip items like booking flights or packing.
5. Select the status from the dropdown as you complete tasks.
6. Check the Dashboard tab daily for visual updates—your progress bar and overdue alerts keep everyone on track.
7. Record expenses in the Travel Log, selecting categories from dropdowns (Transportation, Food, Accommodation, etc.).
8. Use this sheet to reflect on your trip: after returning, update "Notes" with tips or problems encountered for future planning. Pro Tip: Share the file via OneDrive or Google Sheets so everyone can edit in real time!
