Formulas Required
- In Travel Itinerary: =DATEDIF([@Departure], [@Return], "d") + IF(HOUR([@Return]) > HOUR([@Departure]), 0.5, 0) → calculates partial day duration.
- In Chore Assignment Log: =INDEX('Travel Itinerary'!$A:$A,MATCH(TRUE,INDEX(('Travel Itinerary'!$G:$G=ChoreAssignmentLog[@[Team Member(s)]]),0),0)) → auto-fills Trip ID based on traveler.
- =IF([@Due Date]
- Countifs formulas to tally total completed/incomplete chores per employee and per trip.
Conditional Formatting
- Red fill: Overdue tasks (Status = “Not Started” and Due Date < TODAY())
- Yellow fill: Tasks due within 24 hours and not completed.
- Green fill: Completed chores with checkbox input.
- Bold text + red border: International trips (to flag higher complexity).
User Instructions
- Start by entering your travel schedule in the "Travel Itinerary" sheet. Use dropdowns for Travel Type and Team Members.
- Switch to the "Chore Assignment Log". Each time you add a trip, new rows auto-populate with default chores based on your business type (e.g., “Reconcile invoices” for accounting businesses).
- Assign each chore to a team member using the dropdown. Add specific instructions under Notes.
- Update the Status column daily as tasks progress. Completed tasks will auto-highlight green.
- Check the "Task Status Dashboard" daily—it shows real-time charts of completed vs pending chores, and identifies bottlenecks.
- If you’re using the Expense Tracker, link your receipts to each trip ID for tax-ready reporting.
