Sheet Names

  • Weekly Planning Tracker: A dynamic weekly overview that links inventory items to upcoming travel dates.
  • Checklist & Status Dashboard: Visual summary of equipment readiness and completion status per trip week.
  • Item Categories & Maintenance Log: Reference sheet for organizing equipment types and tracking service history.

Table Structures and Columns (Main Inventory Sheet)

The Main Inventory sheet contains a detailed database of all equipment items. Each row represents one item, with the following columns:

Column Name Data Type Description
Item ID (Auto) Text/Number (Auto-incrementing) A unique identifier for each piece of equipment. Automatically generated using a formula.
Equipment Name Text Name of the gear (e.g., "Tent, 4-person", "Solar Charger")
Category Dropdown List (From Categories Sheet) Groups items by type: Camping, Electronics, Safety Gear, Clothing, etc.
Last Used Date Date When the item was last used during a trip.
Next Maintenance Due (Days) Number (Formula-based) Dynamically calculates days until next scheduled maintenance based on usage patterns.
Status Dropdown: "In Stock", "Checked Out", "Under Maintenance", "Missing" Real-time tracking of current location or condition.
Quantity Available Number Total count in inventory (e.g., 3 tents).
Used This Week (Y/N) Boolean: TRUE/FALSE (via checkbox) Marked when the item is scheduled for use during the current week.

Formulas Required

  • Auto-increment Item ID: =IF(A2="", MAX($A$1:$A$100)+1, A2) (assuming A column is Item ID).
  • Next Maintenance Due (Days): =IF(ISBLANK(E2), "", E2 + 90 - TODAY()) This assumes maintenance every 90 days; adjustable per item.
  • Weekly Usage Flag: =IF(OR(H2=TRUE, H3=TRUE, H4=TRUE), "Used This Week", "") — links to Weekly Planning Tracker.
  • Status Color Coding (Conditional Formatting): Use formulas to apply colors: Red if "Missing" or if maintenance due in less than 7 days.

Conditional Formatting Rules

  • Red Text & Background: If Status = "Missing" OR Next Maintenance Due (Days) ≤ 7.
  • Yellow Highlight: If Used This Week = TRUE and Status ≠ "Checked Out". Indicates items in active use.
  • Green Border: For items with no pending issues or upcoming trips.
  • Data Bars: In the "Quantity Available" column, to show relative abundance visually.

Instructions for the User

  1. Setup Phase: Fill in all equipment items on the Main Inventory sheet. Use the Categories Sheet to maintain standardized types.
  2. Weekly Planning Phase: Navigate to Weekly Planning Tracker. Each row represents a specific trip week (e.g., Mon, Feb 19 – Sun, Feb 25). Use checkboxes or dropdowns to mark which equipment is scheduled.
  3. Sync & Update: After marking items in the Weekly Tracker, return to Main Inventory — the "Used This Week" column auto-updates via formulas.
  4. Maintenance Alerts: Regularly review the Maintenance Due column. Items due soon will be highlighted in red.
  5. Generate Reports: Use the Dashboard and Analytics sheets for quick insights on usage trends, frequently used gear, or underutilized equipment.
  6. Export & Share: Save as a PDF weekly checklist or export to mobile apps for offline use during travel.
