Essential Formulas

  • Total Days Calculation: In Trip Overview, =DATEDIF(Start_Date, End_Date,"d")+1
  • Budget Remaining: In Dashboard: =Total_Budget - SUMIFS(Expenses!E:E, Expenses!A:A, [Trip_ID])
  • Days Until Trip: In Dashboard: =TODAY() - Start_Date, formatted to show negative values as “Trip in X days” using conditional text formulas.
  • Packlist Progress: In Dashboard: =COUNTIF(Packlist!C:C,"Y")/COUNTA(Packlist!C:C) → displays % completed as a KPI.

Conditional Formatting Rules

  • Over Budget: If Expense total per trip exceeds budget, the corresponding cell turns red in Dashboard.
  • Past Due Activities: In Itinerary, if a day’s activity is marked as “pending” and the date is past today, text turns orange.
  • High Spending Categories: Expense categories exceeding 20% of total budget highlight in yellow.
  • Packlist Completion: Green background when all items are checked; amber if >80%, red if <50%.

User Instructions

This template is designed for non-technical users. Begin by filling in the Trip Overview sheet with your trip details. Once saved, use the dropdown menus (data validation lists) to link subsequent sheets to your Trip ID. Update Expenses as you incur them; all charts on the Dashboard auto-update. Use checkboxes in Packlist for easy tracking — insert them via Developer tab > Checkbox or use data validation (Y/N) if macros are disabled. Always back up your file before major edits.

The template assumes you plan trips 3–6 months ahead. It is ideal for family vacations, business travel with personal side trips, or solo adventures. You may duplicate the entire workbook as a new version for each upcoming trip — keeping history in separate files.
