Travel Planning - Home Template - Report Version

The Travel Planning - Home Template - Report Version is a comprehensive, user-friendly Excel workbook designed to transform casual travel ideas into organized, data-driven itineraries suitable for household budgeting and post-trip analysis. Unlike basic checklists or simple calendars, this template is engineered as a Home Template, meaning it’s structured to integrate seamlessly into the daily life of a family or individual managing multiple trips per year. The “Report Version” designation implies that every input automatically generates analytical outputs — turning raw data into actionable insights through dynamic charts, summary dashboards, and conditional formatting alerts.

Sheet Structure

This template contains six interconnected sheets:

  1. Dashboard: Central hub displaying key metrics and visual summaries.
  2. Trip Log: Primary data entry sheet for all travel records.
  3. Budget Tracker: Compares planned vs. actual spending by category.
  4. Accommodations: Details on lodging bookings, costs, and amenities.
  5. Transportation: Records flights, rentals, trains, and fuel expenses.
  6. Reports: Pre-formatted summary tables for printing or sharing.

Essential Formulas

  • =SUMIFS(BudgetTracker!D:D, BudgetTracker!A:A, TripLog!A2) — Calculates actual spend per trip.
  • =IF(I2<0,"Over Budget","Within Budget") — Flags overspending in Trip Log.
  • =NETWORKDAYS(C2,D2)-1 — Counts total travel days excluding start/end.
  • =AVERAGEIFS(TripLog!J:J, TripLog!F:F, "Vacation") — Calculates average satisfaction for vacation trips only.
  • =SUMPRODUCT((TripLog!F:F="Family Visit")*(TripLog!G:G))/COUNTIF(TripLog!F:F,"Family Visit") — Average budget per family trip.

Conditional Formatting Rules

  • Over Budget (Column I): Red fill if value < 0; green if ≥ 0.
  • Satisfaction Rating (Column J): Color scale: red (1), yellow (3), green (5).
  • Trip Type: Background color-coded by category: Blue = Business, Green = Vacation, Orange = Family Visit.
  • Budget Tracker - High Spend: Yellow highlight if any single expense > 20% of total trip budget.

  4. After your trip, rate your satisfaction (1–5) on a scale of comfort, value, and enjoyment.
  5. Use the Reports sheet to print a clean PDF summary for family sharing or tax records.
  6. To plan future trips: copy an existing row in Trip Log and modify details — all formulas adjust dynamically.
