As an Inventory Template, it provides a structured framework to track all essential components of a trip—accommodations, transportation, activities, and services. The Summary View style ensures that users can quickly access high-level insights about their travel offerings at a glance through dynamic summaries, visual dashboards, and intelligent data visualization.

Sheet Names

The template comprises four core sheets:

1. Inventory Master List: The central database containing detailed records of all travel components.
2. Summary Dashboard: A dynamic overview sheet showing aggregated data, KPIs, and visual representations.
3. Booking Calendar: A timeline-based view of confirmed bookings across destinations and dates.
4. Instructions & Guidelines: A reference sheet with usage tips, formula explanations, and best practices.

Table Structures and Columns (Inventory Master List)

The primary data source is the Inventory Master List, structured as a formal table. This ensures scalability, automatic formatting updates, and compatibility with Excel’s filtering and sorting features.

Formulas Required

To maintain data integrity and automate insights, several key formulas are used:

• Item ID (Auto): =CONCAT("ITM", TEXT(ROW()-1,"000")) – Generates unique IDs like ITM001, ITM002.
• Last Updated: =IF(ISBLANK([@[Last Updated]]), TODAY(), [@Last Updated]) – Auto-populates current date when row is edited.
• Availability Status Logic: Conditional checks using IF statements to flag items outside their date range or with zero capacity.
• Count by Category: In the Summary Dashboard, use COUNTIF(InventoryMasterList[Category], "Accommodation").
• Available Items Calculation: =COUNTIFS(InventoryMasterList[Availability Status], "Available", InventoryMasterList[Start Date], "<="&TODAY(), InventoryMasterList[End Date], ">="&TODAY())

Conditional Formatting Rules

To enhance visual clarity and user experience, the following rules are applied:

• Availability Status Color-Coding: Green for "Available", Red for "Booked", Yellow for "Reserved".
• Date Range Alerts: Items with today’s date outside Start/End Date range are highlighted in gray.
• Low Capacity Warning: Any item with capacity ≤ 2 is marked in bold and red.
• Last Updated Reminder: Rows where last updated was more than 30 days ago are shaded pink.

User Instructions

To use this template effectively:

1. Enter new inventory items in the Inventory Master List. Use the dropdowns for consistency.
2. Update availability and pricing as bookings change. The system will auto-update summaries.
3. Review the Summary Dashboard weekly to monitor total available inventory, booking trends, and high-demand destinations.
4. Add new items or update existing ones using the built-in data validation (e.g., only valid dates allowed).
5. The Booking Calendar can be filtered by destination or date range to plan future trips efficiently.
6. Use the Instructions sheet for troubleshooting and formula guidance.
