Table Structures & Columns (Expense Tracker Sheet)

The Expense Tracker sheet contains a structured table with the following columns:

Column Name Data Type/Format Description
Date Date (dd/mm/yyyy) Transaction date during travel.
Category Dropdown list (from Budget Categories sheet) Select from predefined categories like Flights, Accommodation, Food, Transport, etc.
Description Text (up to 50 characters) Short note about the expense (e.g., “Airport taxi”, “Dinner in Paris”).
Amount (£) Number (Currency format with £ symbol) The actual cost of the transaction.
Status Text (Automatically filled by formula) Paid, Pending, or Reimbursed.

Formulas Required

  • Total Expenses: =SUMIF(ExpenseTracker[Amount (£)],">0") – Calculates sum of all recorded expenses.
  • Budget vs. Actual (per category): Uses a VLOOKUP to pull target budget from the Budget Categories sheet and compares it to actual spending per category using SUMIFS.
  • Remaining Budget: =BudgetTarget - SUMIF(ExpenseTracker[Category], [Category], ExpenseTracker[Amount (£)])
  • Progress Toward Savings Goal: If you’re saving for the trip, use: =SavedAmount / TotalTripCost, displayed as a percentage.
  • Status Indicator: Conditional formatting triggered by formulas to automatically set "Paid", "Pending" based on manual input or date.

Conditional Formatting Rules

  • Budget Exceeded Alerts: If actual spending exceeds the target for any category, the cell turns red with a warning icon.
  • Savings Progress Bar: Uses data bars in the Overview Dashboard to visualize how close you are to your savings goal.
  • Past Due Expenses: If an expense date is before today's date and status is "Pending", the row turns yellow.
  • Savings Progress Color Gradient: From green (0–75%) to amber (76–95%) to red (96–100%).
