Travel Planning Shopping List Dashboard View Excel Template

This comprehensive Excel template is designed specifically for travelers who wish to streamline their pre-trip preparation by combining the practicality of a Shopping List with the visual clarity and real-time tracking of a Dashboard View. The purpose of this template is to eliminate the chaos often associated with packing for trips—whether leisure, business, or family vacations—by centralizing all essential items into an intelligent, interactive system. Unlike traditional checklists, this template leverages Excel’s dynamic features such as pivot tables, conditional formatting, slicers, and embedded charts to deliver a holistic Travel Planning experience that evolves with your needs.

Sheet Names

The workbook is organized into four primary sheets:

  • Dashboard: The central control panel displaying summary statistics, visual indicators, and interactive controls.
  • Shopping List: The master database of all items to pack, categorized and tagged.
  • Categories: A reference table defining item types and associated travel needs (e.g., “Weather-Appropriate,” “Electronics,” “Documents”).
  • Trips: A log of past and upcoming trips with dates, destinations, duration, and tags to enable historical analysis.

  • A dynamic named range for Category dropdowns using: =OFFSET(Categories!$A$1,0,0,COUNTA(Categories!$A:$A),1).
  • Use VLOOKUP or XLOOKUP to auto-fill weather recommendations from the Trips table into the Shopping List based on selected Trip ID.

Conditional Formatting

  • Packed?: Green fill if “Yes”; Red fill if “No” and trip is within 3 days.
  • Priority: Red for “High,” Yellow for “Medium,” Gray for “Low.”
  • Item Name: Bolded if the item is marked as essential (via custom column).
  • Date-based alerts: Highlight any item with no trip linked if today’s date exceeds the trip start by 7 days.

Instructions for the User

  1. Begin by populating the Trips sheet with upcoming trips and their details.
  2. Select a Trip ID on the Shopping List tab to auto-filter items relevant to that trip.
  3. Add items manually or import from saved templates (e.g., “Beach Trip Essentials”).
  4. Check off items as you pack using the “Packed?” dropdown. The Dashboard updates live.
  5. Use the slicers on the Dashboard to filter by Category, Priority, or Trip Name.
  6. Review visual indicators: If your packing progress is under 70% one week before departure, prioritize remaining items.
  7. Delete or archive completed trips in the Trips sheet to keep your dashboard clean.
