Data types: Date (Date format), Destination (Text), Duration (Number), Weather Forecast (Text), Activities (Text). A dropdown for weather is implemented using Data Validation to ensure consistency.

Sheet 2: Shopping List

This is the core of the template. It auto-populates items based on the itinerary and allows manual additions. Columns include:

Data types: Item Name and Category (Text), Quantity (Number), Unit (Text), Required Date (Date, auto-filled from Travel Itinerary using VLOOKUP or INDEX/MATCH based on weather/activity conditions). Priority is a dropdown with Data Validation. Purchased? uses Excel’s checkbox control linked to TRUE/FALSE values.

Formulas

  • =VLOOKUP(A2, 'Travel Itinerary'!$A:$E, 5, FALSE) → pulls destination activities to suggest items.
  • =IFERROR(IF([@Purchased?], "✓", "✗"), "") → converts boolean to checkmarks.
  • =COUNTIF([Purchased?], TRUE)/COUNTA([Item Name]) → calculates % complete in Dashboard.
  • =SUMIFS(Shopping List[Quantity], Shopping List[Required Date], ">="&TODAY(), Shopping List[Required Date], "<="&TODAY()+7) → total items due this week.

Conditional Formatting

  • High Priority Items: Red background if Priority = "High" and Purchased? = FALSE.
  • Weather-Based Alerts: If Weather Forecast contains “Rain” or “Snow”, all clothing items in Shopping List turn light blue.
  • Due Today Items: Yellow highlight on Required Date if it equals TODAY().
  • Purchased Status: Green fill when Purchased? = TRUE.

Sheet 3: Packing Tracker

A simple checklist that mirrors the Shopping List but allows users to mark items physically packed. Linked to the Shopping List via formulas so checking off here updates Purchased? status.

Sheet 4: Dashboard Summary

Visual summary with:

  • Pie Chart: Distribution of items by Category (Toiletries, Clothing, Electronics, etc.).
  • Bar Chart: Items due per day over the week.
  • Gauge Meter: Overall completion % of shopping list (0–100%).
  • KPI Box: Total items, completed, remaining, and last updated timestamp.

Instructions for the User

  1. Start by entering your daily travel itinerary on the “Travel Itinerary” sheet.
