Travel Planning Supply List - Report Version (Excel Template)

This comprehensive Excel template is specifically designed for Travel Planning purposes, with a focus on organizing and tracking essential items through a structured Supply List. The "Report Version" style ensures that the data is presented professionally, enabling users to generate detailed summaries, track inventory status, and monitor preparation progress across multiple trips. This template is ideal for individuals or teams planning vacations, business trips, expeditions, or extended stays abroad.

Sheet Names

The template includes three primary worksheets:

  1. Supply List (Main): The core data entry sheet where users input all travel supplies and related details.
  2. Summary Dashboard: A visual report sheet with charts, KPIs, and high-level metrics summarizing supply status across various trips.
  3. Instructions & Tips: A guide sheet providing usage instructions, definitions of categories, and best practices for effective travel planning.

Table Structure and Columns (Supply List Sheet)

The main table on the Supply List (Main) sheet is structured as a dynamic Excel Table with the following columns:

Formulas Required

The template uses several dynamic formulas to enhance functionality and reporting:

  • Item ID Auto-Generation:
    =TEXT(TODAY(),"yy")&"-"&TEXT(ROW()-1,"000")
    This formula generates a unique ID like "24-001", increasing sequentially with each new row.
  • Days Until Trip:
    =IF([@Trip Date (Start)]<>"", [@Trip Date (Start)] - TODAY(), "")
    Calculates the number of days remaining until departure, helping users gauge urgency.
  • Packing Progress Percentage:
    =COUNTIF(Pack_Status_Column,"Complete")/COUNTA(Pack_Status_Column)*100
    Calculated in the Summary Dashboard to show overall packing progress.
  • Category Count per Trip:
    Use SUMIFS or Pivot Tables (in Dashboard) to count items by category and destination.

Conditional Formatting Rules

To enhance visual tracking, the following conditional formatting rules are applied:

  • Red Highlight: Items with "Not Started" status and less than 5 days until departure.
  • Yellow Highlight: Items with "In Progress" status and less than 7 days until departure.
  • Green Highlight: Items with "Complete" status, or more than 14 days remaining.
  • Data Bars (in Quantity Needed): Visualize quantity levels across items using gradient bars.
  • Icon Sets: Use traffic light icons (red/yellow/green) next to Pack Status for quick visual assessment.
