Sheet Structure

The workbook contains four main sheets designed for optimal workflow:

  1. Weekly Budget Overview

  • Pie Chart: Budget Allocation vs. Actual Spend (Compares planned vs. real expenses)
  • Trend Line Graph: Daily Total Spent Over the Week (Visualizes spending progression)

Formulas Required

The template uses several built-in Excel formulas to automate tracking and analysis:

  • =SUMIF(ExpenseTracker!B:B, "Accommodation", ExpenseTracker!D:D) – Sums all expenses in the "Accommodation" category.
  • =SUM(ExpenseTracker!D:D) – Totals all spending from the daily tracker sheet.
  • =IF(TotalBudget=0, "", TotalSpent/TotalBudget) – Calculates budget utilization percentage (with error handling).
  • =IF(BudgetRemaining < 0, "Over Budget", "Within Limit") – Provides status indicator.
  • =ROUNDUP((TODAY()-StartDate)/7,0) – Optional: tracks the current week number in a year.

Conditional Formatting Rules

To enhance visual clarity and highlight financial health:

  • Budget Utilization %:
    • Green fill if ≤ 75%
    • Yellow fill if > 75% and ≤ 90%
    • Red fill if > 90%
  • Budget Remaining:
    • Green text if ≥ $0
    • Red bold text if < $0 (over budget)
  • Daily Expense Amount:
    • Award a highlight color for entries above the average daily spend in that category.
