Simple Invoice Template for Workflow Optimization

Sheet Names

The template contains exactly three essential sheets:

  3. Workflow Dashboard: A summary sheet that visualizes key metrics related to invoice processing, payment timelines, and workflow performance.

Table Structures & Columns

Each sheet contains a well-defined table with clearly labeled columns. All data types are standardized for consistency and ease of use.

All fields are structured as follows:

  • Invoice ID: Auto-generated using a formula (see below).
  • Date Issued: Date data type, automatically populated when row is created.
  • Client Name/Email: Text fields with validation to ensure completeness.
  • Description/Service: Text field allowing free entry; used for clarity in workflow tracking.
  • Quantity and Unit Price: Numeric fields (decimal) that calculate total via formula.
  • Total Amount (USD): Computed automatically using quantity × unit price.

  • Due Date: Date field; set 30 days after invoice date by default (configurable).

3. Workflow Dashboard Sheet

This sheet is a summary view with KPIs such as:

The following formulas are embedded throughout the template to ensure data consistency and workflow efficiency:

User Instructions

To use this template effectively:

  1. Open the file and click on "Invoice Entry" to begin creating a new invoice.
  2. Enter all client and service details. The system will auto-generate the Invoice ID and calculate total amount.
  3. Set due date (default is 30 days after issue). You can change this manually.
  4. When an invoice is paid, enter the payment data in the "Payment Tracking" sheet with relevant details.
  5. Every 3 days, review the "Workflow Dashboard" to monitor key performance indicators and identify delays.
  6. Use filters in both invoice and payment sheets to search by client name, status, or date range for faster access.
