This Quotation Estimate is issued by Kyoto Seishin Architecture Studio to provide a comprehensive cost breakdown for the architectural design, structural planning, and regulatory compliance services required for the renovation and adaptive reuse of a historic machiya townhouse located in the Higashiyama district of Japan Kyoto. The Architect of record, Mr. Tanaka Hiroshi, will oversee all phases of the project from initial concept development through to final construction documentation and on-site supervision. The project aims to preserve the traditional wooden structural elements characteristic of Kyoto's heritage architecture while integrating modern energy-efficient systems, seismic reinforcement, and contemporary interior finishes suitable for a boutique cultural exhibition space.

The Architect shall deliver the following services in accordance with the Japan Architectural Institute (JIA) standards and the Building Standards Act of Japan:

  • Phase I — Feasibility & Site Analysis: Comprehensive survey of the existing machiya structure, soil and seismic assessment, heritage impact evaluation in coordination with the Japan Kyoto City Cultural Properties Division, and preliminary budget estimation.
  • Phase II — Concept Design: Development of three (3) distinct design concepts blending traditional Japanese architectural vocabulary (shoji screens, engawa verandas, tatami proportions) with contemporary spatial planning. Presentation to the client for selection.
  • Phase III — Schematic Design: Refinement of the selected concept, preliminary structural engineering coordination, materials specification, and preparation of drawings for submission to the Japan Kyoto Municipal Planning Bureau for building permit approval.
  • Phase IV — Detailed Design & Construction Documents: Full set of construction drawings (architectural, structural, MEP), bill of quantities, tender documents, and specification schedules compliant with Japanese building codes.
  • Phase V — Construction Administration: On-site supervision by the Architect or designated associate, weekly progress inspections, review of contractor submittals, and certification of completed works.

Payment for the services outlined in this Quotation Estimate shall be made in accordance with the following milestone-based schedule:

  • 20% upon execution of the Architectural Services Agreement (advance payment).
  • 25% upon approval of the Schematic Design package by the client.
  • 30% upon issuance of the full Construction Document set and building permit approval by Japan Kyoto authorities.
  • 25% in equal monthly instalments during the Construction Administration phase.
  1. This Quotation Estimate is valid for a period of ninety (90) calendar days from the date of issue. Beyond this period, all fees are subject to revision based on prevailing market rates in Japan Kyoto.
  2. The Architect reserves the right to adjust the scope of work if additional heritage restrictions are imposed by the Japan Kyoto Municipal Government during the permitting process. Any such adjustments will be documented in a written amendment to this estimate.
  3. All intellectual property rights in the design documents, drawings, and renderings produced under this engagement shall vest in the client upon full payment of the fees specified herein.
  4. The Architect shall maintain professional indemnity insurance with a minimum coverage of ¥100,000,000, as required by the Japan Architectural Institute for projects located in the Japan Kyoto metropolitan area.
  5. Disputes arising from this engagement shall be resolved through mediation in accordance with the JIA dispute resolution guidelines, with jurisdiction in Japan Kyoto.
  6. Force majeure events, including but not limited to earthquakes, typhoons, or government-mandated closures affecting the Japan Kyoto region, shall extend the project timeline without penalty to either party.
  7. All communications regarding this Quotation Estimate and subsequent contract shall be conducted in Japanese, with English translations provided for the client's reference where requested.

By signing below, the client acknowledges receipt of this Quotation Estimate and agrees to the terms, conditions, and fee structure set forth herein for the architectural services to be performed in Japan Kyoto. The Architect confirms availability to commence Phase I within fourteen (14) business days of contract execution.
