1. Introduction and Purpose of This Quotation Estimate

This Quotation Estimate is issued by Harare Design & Build Architects (Pvt) Ltd to provide a comprehensive and transparent breakdown of professional fees for Architect services to be rendered in Zimbabwe Harare. This document outlines the full scope of architectural design, planning, and project management services that our registered Architect team will deliver for the aforementioned mixed-use development project. All costs are quoted in United States Dollars (USD) in accordance with the prevailing exchange rate regulations of the Reserve Bank of Zimbabwe, and this Quotation Estimate remains valid for thirty (30) days from the date of issue.

2. Scope of Architect Services

As the lead Architect for this project in Zimbabwe Harare, our firm will deliver the following professional services in full compliance with the Zimbabwe Building Regulations, the Harare City Council planning by-laws, and the standards set by the Zimbabwe Institute of Architects (ZICA):

  • Site Survey and Feasibility Study: Comprehensive topographical survey of Plot 214, Chisipite, Harare, including soil analysis, drainage assessment, and environmental impact screening as required by the Environmental Management Agency (EMA) of Zimbabwe.
  • Concept Design and Schematic Plans: Development of initial architectural concepts, massing studies, and schematic floor plans for all four storeys, incorporating both commercial ground-floor retail space and residential apartments on upper levels.
  • Detailed Design Development: Production of full architectural working drawings, including elevations, sections, floor plans, and 3D visualisations, all prepared to the standards required for building permit submission to Harare City Council.
  • Structural and MEP Coordination: Liaison with structural engineers, mechanical, electrical, and plumbing consultants to ensure integrated design delivery for the building in Zimbabwe Harare.
  • Building Permit and Regulatory Compliance: Preparation and submission of all necessary documentation to Harare City Council, the National Building Code Authority, and other relevant statutory bodies in Zimbabwe to obtain full building permits.
  • Construction Documentation: Issuance of complete tender drawings, specifications, and bill of quantities to enable competitive contractor tendering.
  • Construction Phase Supervision: On-site architectural supervision, progress inspections, and certification of workmanship throughout the construction period, ensuring compliance with the approved design.
  • Project Handover and As-Built Drawings: Final inspection, snagging, and preparation of as-built documentation for the completed structure.

Note: This Quotation Estimate does not include third-party costs such as structural engineer fees, geotechnical investigation charges, Harare City Council permit levies, or EMA environmental clearance fees. These will be billed at actual cost with prior written approval from the client. All Architect professional fees are exclusive of travel expenses beyond a 25 km radius of central Harare, Zimbabwe.

4. Payment Schedule

The total Quotation Estimate amount of USD 93,150.00 shall be paid in the following instalments:

  1. 25% (USD 23,287.50) – Upon signing of the professional services agreement and commencement of the site survey phase.
  2. 20% (USD 18,630.00) – Upon approval of the concept design and schematic plans by the client.
  3. 25% (USD 23,287.50) – Upon submission of detailed working drawings and receipt of building permit from Harare City Council.
  4. 20% (USD 18,630.00) – Upon completion of construction documentation and commencement of the construction phase.
  5. 10% (USD 9,315.00) – Upon project handover, final snagging, and delivery of as-built drawings.

5. Terms and Conditions

  1. This Quotation Estimate is valid for thirty (30) calendar days from the date of issue. Beyond this period, fees may be revised to reflect changes in the Zimbabwean economic environment, exchange rates, or material cost indices.
  2. All Architect services shall be performed in accordance with the Code of Ethics of the Zimbabwe Institute of Architects (ZICA) and the provisions of the Architects Act [Chapter 29:09] of the Laws of Zimbabwe.
  3. The Architect shall not be liable for delays caused by third-party authorities, including but not limited to Harare City Council, the National Building Code Authority, or the Environmental Management Agency of Zimbabwe.
  4. Any variation or change order to the scope of work must be agreed upon in writing by both parties before additional work commences. Adjustments to this Quotation Estimate will be issued as a supplementary schedule.
  5. Intellectual property rights in all design documents, drawings, and 3D models produced by the Architect remain with Harare Design & Build Architects (Pvt) Ltd until full payment of the Quotation Estimate amount is received.
  6. Disputes arising from this engagement shall be resolved through mediation in Zimbabwe Harare in accordance with the Mediation Act [Chapter 29:07] of Zimbabwe, and failing resolution, through the High Court of Zimbabwe sitting in Harare.
  7. The Architect shall maintain professional indemnity insurance of not less than USD 500,000 for the duration of the project.

6. Acceptance and Authorisation

By signing below, the client acknowledges receipt of this Quotation Estimate and agrees to the terms, conditions, and professional Architect services outlined herein for the project located in Zimbabwe Harare.
