2. Scope of Services – Biomedical Engineer Engagement

This Quotation Estimate is issued by MediTech Solutions BV in response to the formal request from Hôpital Universitaire Saint-Luc for the engagement of a qualified Biomedical Engineer to oversee the comprehensive modernisation of diagnostic and therapeutic medical equipment across the hospital's facilities located in Belgium Brussels. The scope of work encompasses the following key deliverables:

Full technical audit and condition assessment of all existing biomedical equipment (imaging systems, patient monitors, ventilators, infusion pumps, and laboratory analyzers) currently installed in the hospital premises in Belgium Brussels.
Development of a detailed maintenance and calibration schedule compliant with Belgian regulatory standards (SPF Santé Publique) and European Medical Device Regulations (EU MDR 2017/745).
Supervision of the installation, commissioning, and validation of 47 new medical devices procured under the hospital's 2025 capital investment programme.

4. Payment Terms

Payment shall be made in accordance with the following schedule, tied to milestone completion as verified by the client's project manager:

30% upon signature of the contract and acceptance of this Quotation Estimate.
40% upon completion of installation, commissioning, and validation of all 47 medical devices.
20% upon delivery of the final risk management report and AFMPS conformity documentation.
10% upon successful completion of the 12-month on-call support period.

All invoices shall be payable within 30 calendar days from the date of issue. Late payments shall accrue interest at the rate prescribed by the Belgian Code of Economic Law (Article 5:30).

5. Terms and Conditions

5.1 This Quotation Estimate is valid for a period of thirty (30) calendar days from the date of issue. After this period, MediTech Solutions BV reserves the right to revise pricing due to market fluctuations, exchange rate changes, or regulatory updates applicable in Belgium Brussels.

5.2 The Biomedical Engineer assigned to this project shall hold a minimum of a Master's degree in Biomedical Engineering, a valid Belgian professional registration, and a minimum of eight (8) years of post-qualification experience in hospital medical equipment management within the European Union.

5.3 All work shall be performed in strict compliance with Belgian labour law, the Belgian Code of Economic Law, and applicable European Union directives governing medical devices and workplace safety.

5.4 The Biomedical Engineer shall maintain full professional indemnity insurance (minimum coverage of € 5,000,000) and third-party liability insurance throughout the duration of the engagement in Belgium Brussels.

5.5 Any changes to the scope of work beyond the parameters described in Section 2 shall be subject to a supplementary Quotation Estimate and written approval by both parties before additional work commences.

5.6 This Quotation Estimate does not constitute a binding contract until countersigned by both parties. The governing law for this engagement shall be the law of the Kingdom of Belgium, and any disputes shall be submitted to the competent courts of Brussels.

5.7 Confidentiality: All information exchanged in connection with this Quotation Estimate and the subsequent project shall be treated as strictly confidential in accordance with Belgian data protection legislation (Law of 30 July 2018) and the EU General Data Protection Regulation (GDPR).
