1. Introduction and Scope of Work
This Quotation Estimate is issued by ProShield Fire & Safety Services (Pty) Ltd in response to the request from Atlantic Business Park Management for the deployment of a full-time, SANS 10180-compliant Firefighter to provide continuous fire watch, emergency response readiness, and fire safety oversight at the Atlantic Business Park premises located in Sea Point, South Africa Cape Town. The scope encompasses the provision of a certified Firefighter, associated personal protective equipment (PPE), monthly fire safety inspections, quarterly fire drill coordination, and 24/7 emergency response coverage for the duration of the contract period.
The Firefighter to be deployed will hold a valid National Firefighter Certificate (NQF Level 3) issued under the South African Qualifications Authority (SAQA) framework, a current medical fitness certificate, and at least five (5) years of documented operational experience in commercial and mixed-use building fire response within the Cape Town metropolitan area. The Firefighter will report directly to the site's Facilities Manager and will operate in accordance with the National Fire Act 68 of 1997, the Occupational Health and Safety Act 85 of 1993, and all applicable Western Cape municipal by-laws governing fire safety in commercial premises.

3. Payment Terms
Payment of the total Quotation Estimate value shall be made in twelve (12) equal monthly instalments of R 53,062.92 (inclusive of VAT), payable within fourteen (14) calendar days from the date of invoice. The first instalment is due on 1 August 2025. Late payments shall attract interest at the rate of 1.5% per month, calculated on the outstanding balance, in accordance with the Late Payment of Interest Act 3 of 2003. All payments shall be made via electronic funds transfer (EFT) to the bank account details provided on the invoice.
4. Terms and Conditions
- This Quotation Estimate is valid for thirty (30) calendar days from the date of issue. Thereafter, pricing may be subject to revision based on prevailing labour cost indices and exchange rate fluctuations.
- The Firefighter deployed shall be an employee of ProShield Fire & Safety Services (Pty) Ltd and shall not be deemed an employee or agent of the Client for any purpose other than the performance of the services described herein.
- The Client shall provide the Firefighter with a dedicated, secure on-site room for storage of PPE and rest during shift changes, as well as access to all areas of the Atlantic Business Park premises for inspection purposes.
- All services shall be performed in compliance with the fire safety regulations of the City of Cape Town and the Western Cape Provincial Government. The Firefighter shall maintain a daily logbook of all inspections, incidents, and observations.
- Either party may terminate this agreement with thirty (30) days' written notice. In the event of termination, the Client shall be liable for all services rendered up to the effective date of termination.
- ProShield Fire & Safety Services (Pty) Ltd shall maintain a minimum public liability insurance cover of R 10,000,000.00 and workers' compensation insurance for the duration of the contract.
- All reports, inspection records, and drill documentation generated in South Africa Cape Town under this contract shall be the joint property of both parties and shall be retained for a minimum period of five (5) years in accordance with South African records management legislation.
- Any disputes arising from this Quotation Estimate or the resulting contract shall be resolved through mediation in Cape Town, and failing mediation, through the Labour Court or the High Court of South Africa, Western Cape Division, Cape Town.
5. Acceptance and Authorisation
By signing below, the Client acknowledges and accepts the terms, conditions, and pricing set out in this Quotation Estimate for the deployment of a professional Firefighter and associated fire safety services at the Atlantic Business Park, South Africa Cape Town. This acceptance constitutes a binding agreement between the parties for the service period specified herein.
