1. Scope of Work — Journalist Services in Japan Kyoto

This Quotation Estimate is issued by Kansai Media & Communications Ltd. to formally outline the professional fees, deliverables, and conditions associated with the engagement of a senior Journalist to conduct in-depth cultural, historical, and tourism-related reporting within the Japan Kyoto metropolitan area and its surrounding prefectures. The Journalist will be responsible for producing long-form investigative features, photo-essay narratives, broadcast-ready field reports, and digital multimedia content that accurately represents the living heritage, artisanal traditions, and contemporary cultural developments of Japan Kyoto.

The scope encompasses on-site reporting at no fewer than twenty (20) designated heritage sites, temples, shrines, artisan workshops, and community centres across Higashiyama, Fushimi, Ukyo, and Sakyo wards. The Journalist will also conduct structured interviews with local cultural preservation officers, temple abbots, third-generation craftspersons, and municipal tourism officials. All content will be produced in both Japanese and English to serve the dual domestic and international audiences of the client.

3. Payment Terms

Payment for this Quotation Estimate shall be made in three (3) instalments via bank transfer to Kansai Media & Communications Ltd., account details to be provided upon contract execution:

  • Instalment 1 (40%): ¥5,206,960 — Due within 10 business days of signed acceptance of this Quotation Estimate, prior to the commencement of fieldwork in Japan Kyoto.
  • Instalment 2 (35%): ¥4,556,090 — Due upon delivery of the first six (6) long-form articles and four (4) video segments, no later than 15 August 2025.
  • Instalment 3 (25%): ¥3,254,350 — Due within 15 business days of final delivery and client sign-off on all remaining deliverables, expected by 30 September 2025.

4. Terms and Conditions

  1. This Quotation Estimate is valid for thirty (30) calendar days from the date of issue. Any request for services beyond this validity period will require a revised Quotation Estimate reflecting current market rates for Journalist engagement in Japan Kyoto.
  2. The Journalist engaged under this Quotation Estimate shall adhere to the ethical standards set forth by the Japan Press Foundation and the International Federation of Journalists. All reporting must be factual, balanced, and free from undisclosed commercial influence.
  3. All intellectual property rights in the final deliverables (articles, video scripts, multimedia packages) shall transfer to the client upon full payment. The Journalist retains the right to use excerpts for personal portfolio purposes with prior written consent from the client.
  4. The client agrees to provide reasonable access to all designated sites within Japan Kyoto and to facilitate introductions to interview subjects. Delays in access exceeding five (5) business days may result in a proportional extension of the project timeline at no additional cost to the client.
  5. Force majeure events, including but not limited to natural disasters (earthquakes, typhoons), government travel advisories, or public health emergencies affecting the Japan Kyoto region, shall suspend obligations under this Quotation Estimate until normal operations resume. Neither party shall be liable for damages arising from such events.
  6. Any changes to the scope of work, including additional reporting locations, extended interview sessions, or supplementary multimedia deliverables, must be documented in a written amendment to this Quotation Estimate and signed by both parties before execution.
  7. Confidentiality: Both parties agree to treat all unpublished material, interview recordings, and internal communications as strictly confidential. Breach of confidentiality may result in contractual penalties as defined in the master service agreement.
  8. Disputes arising from this Quotation Estimate shall be resolved through mediation under the auspices of the Kyoto Chamber of Commerce and Industry. If mediation fails, disputes shall be subject to the exclusive jurisdiction of the Kyoto District Court.
  9. This Quotation Estimate does not constitute a binding contract until countersigned by both parties. The master service agreement, which supersedes this document in the event of any conflict, will be executed separately.

5. Acceptance and Authorisation

By signing below, the client acknowledges receipt of this Quotation Estimate for Journalist services in Japan Kyoto, accepts the terms, conditions, and pricing outlined herein, and authorises Kansai Media & Communications Ltd. to proceed with the engagement of the designated Journalist and support team.
