This Quotation Estimate is issued by Kyoto Heritage Library Consulting Co., Ltd. to formally present the projected costs, scope of engagement, and professional deliverables associated with the provision of a dedicated Librarian to serve the Kyoto Municipal Cultural Preservation Board. The Librarian engaged under this Quotation Estimate shall provide comprehensive professional services within the historic districts of Kyoto, including but not limited to the following areas of responsibility:

  • Archival Curation & Cataloguing: Systematic organisation, digitisation, and metadata cataloguing of Edo-period manuscripts, woodblock print collections, and classical Japanese literary texts housed in the Kyoto Municipal Archive, located in the Nakagyo-ku district.
  • Reference & Research Support: Provision of expert bibliographic guidance to scholars, students, and the general public visiting the Kyoto Cultural Library, with particular emphasis on Heian-era literature, Zen Buddhist sutra collections, and traditional Japanese calligraphy archives.
  • Collection Development: Strategic acquisition planning for rare and endangered texts relevant to Kyoto's cultural identity, including coordination with temple libraries in the Higashiyama and Fushimi wards.

Payment for the services outlined in this Quotation Estimate shall be made in quarterly instalments, due within 30 days of invoice issuance. The first instalment of ¥7,084,000 (25% of the grand total) is payable upon contract execution. Subsequent quarterly payments of ¥7,084,000 each shall be due on 1 September 2025, 1 December 2025, and 1 March 2026. All payments shall be made via bank transfer to the account designated by Kyoto Heritage Library Consulting Co., Ltd. in accordance with Japanese commercial banking regulations.

This Quotation Estimate assumes that the client will provide the Librarian with secure, climate-controlled workspace within the Kyoto Municipal Cultural Preservation Board premises. Costs associated with physical building modifications, emergency conservation of damaged manuscripts, and any services extending beyond the 12-month engagement period are excluded from this estimate. Should the scope of work in Japan Kyoto expand to include satellite locations outside the Kyoto Prefecture boundary, a supplementary quotation will be issued at no additional administrative charge.

  1. This Quotation Estimate is valid for a period of sixty (60) calendar days from the date of issue, after which all rates are subject to revision based on prevailing Japanese labour market conditions and material costs.
  2. The Librarian engaged under this agreement shall be bound by a strict confidentiality clause, particularly with respect to unpublished manuscripts, restricted-access collections, and personal data handled within the Kyoto archival environment.
  3. Either party may terminate the engagement with sixty (60) days' written notice. In the event of early termination, all services rendered up to the termination date shall be invoiced in full.
  4. All intellectual property generated by the Librarian in the course of this engagement, including catalogue records, digitised metadata, and programme materials, shall vest in the Kyoto Municipal Cultural Preservation Board upon full payment.
  5. This agreement shall be governed by and construed in accordance with the laws of Japan, and any disputes shall be subject to the exclusive jurisdiction of the Kyoto District Court.
  6. The Librarian shall comply with all applicable Japanese regulations, including the Cultural Properties Protection Act, the Act on the Protection of Cultural Properties, and local Kyoto municipal bylaws pertaining to the handling of historical documents.

By signing below, the client acknowledges receipt of this Quotation Estimate and confirms acceptance of the terms, conditions, and cost projections set forth herein for the provision of Librarian services in Japan Kyoto. This document, once countersigned by both parties, shall constitute a binding service agreement.
