This Quotation Estimate is issued in formal response to the invitation extended by the Kyoto International Research Institute for the engagement of a visiting Professor in the field of Comparative Literature and East-West Literary Exchange. The purpose of this document is to itemise all costs, fees, and associated expenses that will be incurred during the Professor's residency in Japan Kyoto, ensuring full transparency and mutual agreement between the hosting institution and the visiting academic. All figures presented in this Quotation Estimate are estimates based on current rates as of the date of issue and are subject to the terms and conditions outlined in Section 7 below.

The Professor, Dr. Margaret E. Whitfield, will undertake the following academic and professional activities during her thirteen-week residency in Japan Kyoto:

  • Delivery of a weekly seminar series (three hours per week) on "Narrative Traditions: Bridging Japanese and European Literary Forms" at the Kyoto International Research Institute's main campus in Higashiyama-ku.
  • Supervision of four (4) doctoral research students affiliated with the Institute, providing weekly one-on-one guidance sessions and written feedback on their dissertations.
  • Participation in two (2) international academic conferences hosted in Kyoto during the engagement period, including the preparation and delivery of keynote addresses.
  • Collaboration with the Institute's Department of Japanese Studies on a joint research project examining the influence of Heian-era poetry on modernist European verse.
  • Attendance at the Institute's monthly faculty council meetings and contribution to curriculum development for the 2026 academic year.
  • Preparation and submission of one (1) peer-reviewed journal article arising from the collaborative research conducted in Japan Kyoto.

The total amount specified in this Quotation Estimate shall be disbursed in three instalments: (a) fifty percent (50%) of the total upon execution of the formal engagement contract, to be transferred no later than 15 August 2025; (b) thirty percent (30%) upon the Professor's confirmed arrival in Japan Kyoto and commencement of the residency on 1 September 2025; and (c) the remaining twenty percent (20%) upon the successful completion of the engagement period and submission of the final research deliverable by 28 November 2025. All payments shall be made via international bank transfer to the account designated by the Professor. Late payments exceeding fourteen (14) calendar days will incur an interest charge of 1.5% per month on the outstanding balance.

Should either party wish to cancel or materially amend the terms of this Quotation Estimate, written notice must be provided no fewer than thirty (30) days prior to the commencement of the engagement period. Cancellation by the hosting institution within the notice period will result in a refund of all monies paid, less any non-recoverable expenses already incurred (such as confirmed airfare). Cancellation by the Professor within the same period will require the return of the initial 50% instalment, less documented non-recoverable costs. Any amendment to the scope of work, duration, or deliverables must be agreed upon in writing and will be reflected in a revised Quotation Estimate issued by the Professor's office.

All fees and payments outlined in this Quotation Estimate are subject to applicable Japanese tax regulations, including but not limited to the withholding tax on non-resident income as governed by the National Tax Agency of Japan. The hosting institution in Kyoto shall be responsible for fulfilling all local tax withholding obligations. The Professor shall be responsible for declaring her income in accordance with the tax laws of the United Kingdom. A valid tax residency certificate will be provided by the Professor to facilitate any applicable tax treaty benefits between Japan and the United Kingdom.

This Quotation Estimate does not constitute a binding contract until both parties have executed the formal engagement agreement. The hosting institution in Japan Kyoto shall provide the Professor with a dedicated office space, access to the Institute's library and digital resources, and reasonable administrative support throughout the residency. The Professor agrees to maintain professional conduct in accordance with the academic standards and cultural norms of Japan Kyoto. This Quotation Estimate is valid for a period of ninety (90) days from the date of issue. Upon expiry, all rates and terms must be renegotiated and a new Quotation Estimate must be issued. Disputes arising from this Quotation Estimate shall be resolved through amicable negotiation, and if unresolved, through arbitration in accordance with the rules of the Japan Commercial Arbitration Association.

Important Note: This Quotation Estimate is prepared exclusively for the Kyoto International Research Institute and is not transferable to any other institution or entity. All rates are quoted in Japanese Yen (JPY) and are based on exchange rate assumptions current as of 14 June 2025. The Professor's engagement in Japan Kyoto is contingent upon the successful issuance of a valid Temporary Visitor or Specified Activities visa by the Japanese Ministry of Foreign Affairs.

By signing below, both parties acknowledge that they have read, understood, and agree to the terms set forth in this Quotation Estimate for the Professor's academic engagement in Japan Kyoto.
