This Quotation Estimate has been prepared by ClearFrame Visual Productions Ltd, a registered professional Videographer operating in New Zealand Wellington, in response to the formal request for a comprehensive video production engagement. The purpose of this document is to provide the client with a detailed, transparent, and itemised breakdown of all anticipated costs associated with the videography services to be delivered. This Quotation Estimate is non-binding until formally accepted in writing by both parties and remains valid for a period of thirty (30) calendar days from the date of issue.
As a dedicated Videographer with over twelve years of experience covering corporate events, weddings, commercial productions, and documentary projects across the New Zealand Wellington region and the broader Capital Territory, ClearFrame Visual Productions is committed to delivering cinematic quality footage that meets the highest professional standards. This Quotation Estimate reflects our standard rate card adjusted for the specific scope of work outlined below.
The Videographer engagement covers the following deliverables for the Harbourview Events Group annual corporate gala, scheduled to take place at the Wellington Convention and Exhibition Centre on 28 August 2025:
- Pre-production consultation and location scouting within the New Zealand Wellington metropolitan area (up to 2 hours)
- Full-day on-site videography coverage (10:00 AM to 11:00 PM, 13 hours total)
- Multi-camera setup (3 cameras) capturing keynote speeches, panel discussions, networking sessions, and the evening gala dinner
- Drone aerial footage of the venue exterior and surrounding Wellington waterfront (subject to Civil Aviation Authority of New Zealand permit)
- Post-production editing including colour grading, audio mixing, and motion graphics lower-thirds
- Delivery of one (1) highlight reel (3–5 minutes) and one (1) full-length event recap (20–30 minutes)

This Quotation Estimate is subject to the following payment schedule:
- 50% deposit ($5,008.25 incl. GST) – Due upon written acceptance of this Quotation Estimate to secure the booking date. Payment is non-refundable once the shoot date is confirmed.
- 50% balance ($5,008.25 incl. GST) – Due within fourteen (14) calendar days of final delivery of all edited content and raw footage files.
All payments are to be made via bank transfer to ClearFrame Visual Productions Ltd, Account Name: ClearFrame Visual Productions, Bank: ANZ New Zealand, Account Number: 01-0042-00887766, Branch: 01-0042. Invoices will be issued in accordance with the Inland Revenue Department of New Zealand requirements.
- This Quotation Estimate is valid for thirty (30) days from the date of issue. After this period, pricing may be subject to revision based on current market rates for Videographer services in New Zealand Wellington.
- The Videographer reserves the right to reschedule the engagement with a minimum of seventy-two (72) hours' written notice in the event of force majeure, severe weather conditions, or equipment failure that cannot be remedied.
- All footage and deliverables remain the intellectual property of ClearFrame Visual Productions Ltd until full payment has been received. Upon receipt of the final balance, full commercial usage rights are transferred to the client.
- The Videographer is not liable for loss of footage due to acts of God, theft, or equipment malfunction beyond reasonable control, provided that all standard backup protocols have been followed.
- Any additional hours of coverage beyond the 13-hour block specified in this Quotation Estimate will be billed at $220.00 per hour per camera operator, plus applicable GST.
- Drone operations are subject to the Civil Aviation Authority of New Zealand (CAA NZ) Part 101 regulations. The client agrees to provide all necessary venue access permissions and to notify the Videographer of any no-fly zones within the New Zealand Wellington area prior to the shoot date.
- This Quotation Estimate is governed by the laws of New Zealand. Any disputes arising from this engagement shall be resolved through the Disputes Tribunal of New Zealand or the District Court of Wellington, as appropriate.
- The client acknowledges that the Videographer may use short clips (no longer than 15 seconds) from the engagement for portfolio and marketing purposes, unless a separate non-disclosure agreement is executed prior to the shoot.
By signing below, the client confirms that they have read, understood, and agree to all terms, conditions, and pricing outlined in this Quotation Estimate. The Videographer engagement will be formally confirmed upon receipt of the 50% deposit and a signed copy of this document.
