Access Instructions: All deliveries must be coordinated with the Diplomat's security office at least 48 hours in advance. Vehicles must be registered on the Auckland mission's approved supplier list. The loading dock is located on the rear of the building on Federal Road. A site supervisor from the Diplomat's facilities team will be present to oversee unloading and placement.
- This Purchase Order is issued by the Office of the Diplomat in New Zealand Auckland and constitutes a binding procurement instrument under the New Zealand Government Procurement Rules 2023 and applicable diplomatic procurement protocols.
- All goods supplied under this Purchase Order must be new, unused, and in full compliance with New Zealand safety standards (AS/NZS) and any applicable diplomatic mission specifications. The Diplomat reserves the right to inspect and reject any item that does not meet the agreed specifications.
- Payment shall be made within thirty (30) calendar days of receipt of a valid tax invoice and confirmed delivery of all line items. Payment will be processed via electronic funds transfer (EFT) to the supplier's nominated New Zealand bank account.
- The supplier warrants that all Diplomat-branded furniture and equipment shall carry a minimum manufacturer's warranty of five (5) years, with on-site repair or replacement at no additional cost to the Diplomat's Auckland office.
- Delivery is on DDP (Delivered Duty Paid) terms to the Auckland address specified herein. All freight, insurance, customs clearance (if applicable), and local transport costs within the Auckland metropolitan region are included in the unit prices stated above.
- Any variation, amendment, or cancellation of this Purchase Order must be agreed in writing by both the Diplomat's Procurement Officer and the supplier's authorised representative. Verbal agreements shall not be binding.
- The supplier acknowledges that the goods are being procured for use in a diplomatic facility in New Zealand Auckland and agrees to maintain strict confidentiality regarding the nature, volume, and specifications of the items supplied. No information pertaining to this Purchase Order shall be disclosed to third parties without the written consent of the Diplomat.
- In the event of a dispute arising from this Purchase Order, the parties shall first attempt resolution through good-faith negotiation. Should negotiation fail, the dispute shall be referred to the New Zealand Disputes Tribunal, Auckland District, and the laws of New Zealand shall govern this agreement.
- The supplier shall provide a comprehensive installation report and as-built documentation to the Diplomat's facilities manager within five (5) business days of completing all installation work in Auckland.
- This Purchase Order is valid for acceptance until 14 July 2025. Failure to confirm acceptance by this date shall render this document null and void, and the Diplomat reserves the right to re-tender the procurement.
This Purchase Order is issued under the authority of the Principal Diplomat of the Auckland mission and has been reviewed and approved by the New Zealand Auckland Procurement and Finance Division. By signing below, the supplier confirms acceptance of all terms, conditions, line items, and delivery requirements set forth in this document.
