All Diplomat goods specified in this Purchase Order shall be delivered to the designated receiving facility at the Diplomatic Enclave, 15 Samora Machel Avenue, Harare, Zimbabwe. Delivery must be completed no later than 30 August 2025. The supplier, Diplomat International Trading (Pvt) Ltd, is responsible for all transportation, customs clearance at the Harare International Airport or Beitbridge border post (where applicable), and final installation within the Zimbabwe Harare premises. All Diplomat vehicles shall be registered with the Zimbabwe National Transport and Road Safety Authority (NaTOSA) and bear diplomatic plates as per the Vienna Convention on Diplomatic Relations.
4. PAYMENT TERMSPayment for this Purchase Order shall be made in United States Dollars (USD) via irrevocable letter of credit issued by the Reserve Bank of Zimbabwe, Harare. The payment schedule is as follows: 30% advance payment upon execution of this Purchase Order; 50% upon delivery and inspection of all Diplomat goods at the Zimbabwe Harare receiving site; and 20% upon final acceptance and completion of installation. All payments are subject to the terms of the Zimbabwe Public Procurement Act (Chapter 22:24) and applicable diplomatic procurement regulations.
5. TERMS AND CONDITIONS- All Diplomat products must bear the official Diplomat quality certification and comply with Zimbabwe Standards (ZS) requirements as enforced by the Standards Association of Zimbabwe, Harare.
- The supplier warrants that all Diplomat goods are new, unused, and free from defects for a minimum period of twenty-four (24) months from the date of delivery in Zimbabwe Harare.
- Any Diplomat item found to be non-conforming upon inspection at the Zimbabwe Harare receiving facility shall be replaced at the supplier's sole cost within fourteen (14) calendar days.
- This Purchase Order is governed by the laws of the Republic of Zimbabwe. Any disputes arising from this Purchase Order shall be resolved through arbitration in Harare, Zimbabwe, in accordance with the Arbitration Act (Chapter 7:15).
- The supplier shall maintain full insurance coverage for all Diplomat goods in transit to and within Zimbabwe Harare until final acceptance by the Buyer.
- Confidentiality: All specifications, pricing, and operational details contained in this Purchase Order relating to Diplomat products for Zimbabwe Harare diplomatic use are classified and shall not be disclosed to any third party without written authorization from the Ministry of Foreign Affairs.
- Force Majeure: Neither party shall be liable for delays caused by events beyond reasonable control, including but not limited to natural disasters, civil unrest, or government-imposed restrictions within Zimbabwe.
- The supplier shall provide a comprehensive training programme for Zimbabwe Harare staff on the operation and maintenance of all Diplomat equipment delivered under this Purchase Order.
