All items listed in this Purchase Order shall be delivered to the following Firefighter stations within the city of Kyoto, Japan, no later than August 15, 2025:
- Kyoto Central Fire Station (Nakagyo-ku, Kyoto, Japan)
- Kyoto Northern Fire Station (Higashiyama-ku, Kyoto, Japan)
- Kyoto Southern Industrial Fire Station (Fushimi-ku, Kyoto, Japan)
- Kyoto Western Fire Station (Ukyo-ku, Kyoto, Japan)
- Kyoto Firefighter Training Academy (Sakyo-ku, Kyoto, Japan)
Delivery shall be made via the supplier's certified logistics partner operating within Japan. All shipments must comply with Japanese customs and municipal transport regulations. The supplier is responsible for all packaging, labeling in both Japanese and English, and insurance during transit within Japan.
Payment shall be made in accordance with the following schedule, processed through the Kyoto Municipal Finance Office, Japan:
- 30% Advance Payment: Due within 14 business days of Purchase Order acceptance (by June 26, 2025).
- 50% on Delivery: Due within 30 days of confirmed receipt and inspection at all Kyoto Firefighter stations.
- 20% Final Payment: Due within 60 days of successful commissioning, calibration, and sign-off by the Kyoto Fire Department Firefighter Operations Division.
Payment method: Bank transfer to the supplier's designated account in Japan. All invoices must reference Purchase Order No. PO-KYO-FF-2025-0417 and be submitted in Japanese with an English translation attached.
- This Purchase Order is governed by the laws of Japan and the Kyoto Municipal Procurement Regulations. Any disputes shall be resolved through arbitration in Kyoto, Japan.
- All Firefighter equipment supplied must carry valid JIS certification and, where applicable, NFPA certification. The supplier shall provide copies of all certificates prior to delivery.
- The supplier warrants that all Firefighter gear is new, unused, and free from defects for a minimum period of three (3) years from the date of delivery in Kyoto, Japan.
- The Kyoto Fire Department reserves the right to inspect all Firefighter equipment upon arrival at any station in Kyoto, Japan, and to reject non-conforming items at the supplier's expense.
- Any modification to this Purchase Order must be made in writing and signed by both parties. Verbal agreements are not binding.
- The supplier shall maintain a dedicated Firefighter equipment support desk in Kyoto, Japan, available 24/7 for the duration of the warranty period.
- Confidentiality: All operational details of the Kyoto Fire Department Firefighter units, station locations, and deployment protocols shared under this Purchase Order are classified and shall not be disclosed to third parties.
