All items specified in this Purchase Order shall be delivered to the Vancouver judicial complex at 800 Smithe Street, Vancouver, BC, Canada, no later than August 15, 2025. The supplier is responsible for all shipping, handling, and on-site installation of the Judge’s bench, chambers desk, shelving units, and audio-visual system. Delivery must be coordinated with the court administration office in Vancouver to ensure minimal disruption to ongoing judicial proceedings. The supplier shall provide a minimum of ten (10) business days’ written notice prior to the delivery date. All items must be in pristine, new condition and free from defects at the time of delivery. The Judge’s robes and gavel shall be delivered in a separate, secure package to the Judge’s private chambers upon confirmation of the delivery date by the court clerk.

Payment shall be made in accordance with the following schedule: (a) a deposit of thirty percent (30%) of the total Purchase Order value, amounting to $11,525.85 CAD, shall be remitted within fifteen (15) business days of the supplier’s written acceptance of this Purchase Order; (b) the remaining seventy percent (70%), amounting to $26,893.65 CAD, shall be paid within thirty (30) days following successful delivery, installation, and written acceptance of all items by the designated procurement officer. Payment shall be made by electronic funds transfer (EFT) to the supplier’s designated bank account in Canada. All amounts are denominated in Canadian Dollars (CAD). Late payments shall incur interest at the rate prescribed under the Prompt Payment and Interest on Late Payment of Government Accounts Act of British Columbia.

The supplier warrants that all goods and services provided under this Purchase Order shall be free from defects in materials and workmanship for a period of no less than two (2) years from the date of delivery and acceptance. The Judge’s robes shall carry a one-year warranty against stitching and embroidery defects. The Judge’s bench, chambers desk, and shelving units shall carry a five (5) year structural warranty. The audio-visual system shall carry a one-year comprehensive warranty including parts and labour. Any defective items shall be repaired or replaced at the supplier’s sole expense within fourteen (14) business days of written notice from the Buyer. All materials used in the manufacture of the Judge’s furnishings shall be sourced from Canadian suppliers wherever practicable, in accordance with the government’s preference for domestic procurement in Canada Vancouver and the broader province.

  1. This Purchase Order is governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein.
  2. The supplier shall comply with all applicable employment, health and safety, and environmental regulations in the delivery and installation of the purchased items within the Vancouver facility.
  3. The supplier shall maintain adequate liability insurance (minimum $5,000,000 CAD) for the duration of this Purchase Order and shall provide a certificate of insurance upon request.
  4. Any modifications, substitutions, or changes to the items listed in this Purchase Order must be approved in writing by the Buyer’s procurement officer prior to execution.
  5. The supplier shall not subcontract any portion of the work without the prior written consent of the Buyer.
  6. All intellectual property rights related to custom engravings, designs, and specifications created for the Judge under this Purchase Order shall vest in the Province of British Columbia.
  7. This Purchase Order does not constitute a guarantee of future or repeat business. All future procurement for the Judge’s office in Vancouver shall be subject to a separate competitive bidding process.
  8. Disputes arising from this Purchase Order shall be resolved through mediation in Vancouver, BC, Canada, before resorting to litigation in the Supreme Court of British Columbia.

By signing below, the parties acknowledge and agree to all terms, conditions, and specifications set forth in this Purchase Order. This document constitutes a binding agreement for the procurement of judicial equipment and furnishings for the Judge of the Supreme Court of British Columbia, Vancouver Division.
