This Purchase Order is issued by the Federal Ministry of Foreign Affairs, Nigeria Abuja, to formally engage the services of a certified Translator Interpreter for the duration of the 2025 Diplomatic Engagement Summit scheduled to take place at the National Convention Centre, Nigeria Abuja, from 22 June 2025 to 28 June 2025. The Translator Interpreter shall provide simultaneous and consecutive interpretation services across the following language pairs: English to Hausa, English to Yoruba, English to Igbo, English to French, and English to Arabic. The Translator Interpreter must hold a minimum of five (5) years of documented professional experience in multilingual diplomatic settings and must be registered with the Nigerian Institute of Professional Interpreters (NIPI) in good standing.
The scope of work under this Purchase Order requires the Translator Interpreter to be physically present at all plenary sessions, bilateral meetings, press conferences, and working group discussions held in Nigeria Abuja during the summit period. Additionally, the Translator Interpreter shall provide written translation of all official communiqués, joint declarations, and minutes of meetings within forty-eight (48) hours of each session's conclusion. The Translator Interpreter is expected to maintain strict confidentiality in accordance with the Official Secrets Act (Cap. O1, Laws of the Federation of Nigeria, 2004) and the specific non-disclosure agreement attached as Annex A to this Purchase Order.

- This Purchase Order is governed by the laws of the Federal Republic of Nigeria and the Public Procurement Act (Cap. P27, Laws of the Federation of Nigeria, 2004).
- The Translator Interpreter shall commence all duties no later than 07:00 hours on 22 June 2025 at the National Convention Centre, Nigeria Abuja. Failure to report on time shall constitute a material breach of this Purchase Order.
- Payment shall be made within thirty (30) calendar days of the successful completion of all services and submission of a final invoice, supported by a certificate of satisfactory performance issued by the Ministry's Event Coordination Unit in Nigeria Abuja.
- The Translator Interpreter shall not subcontract any portion of the interpretation or translation work without prior written consent from the Buyer. Any unauthorized delegation of duties shall render this Purchase Order void at the Buyer's sole discretion.
- All materials, recordings, and documents handled by the Translator Interpreter in the course of this engagement in Nigeria Abuja shall remain the exclusive property of the Federal Ministry of Foreign Affairs and must be returned or securely destroyed upon completion of the assignment.
- The Supplier shall maintain professional indemnity insurance with a minimum coverage of NGN 10,000,000 for the duration of this Purchase Order and shall provide a certificate of insurance upon request.
- Any disputes arising from this Purchase Order shall be resolved through arbitration in Nigeria Abuja in accordance with the Arbitration and Conciliation Act, Cap. A18, Laws of the Federation of Nigeria, 2004.
- This Purchase Order may be amended only by mutual written agreement signed by authorized representatives of both parties. No verbal modifications shall be binding.
By signing below, both parties acknowledge that they have read, understood, and agree to all terms, conditions, and obligations set forth in this Purchase Order for the engagement of a Translator Interpreter in Nigeria Abuja. This document constitutes a binding procurement instrument and shall be filed in the official records of the Federal Ministry of Foreign Affairs, Nigeria Abuja, for a period of not less than seven (7) years.
