This Purchase Order is issued to procure the professional services of a certified Translator Interpreter to be deployed and utilized in Tanzania Dar es Salaam for the duration of the East African Regional Trade Summit 2025. The Translator Interpreter shall provide real-time consecutive and simultaneous interpretation between Swahili, English, and French across all plenary sessions, bilateral meetings, and working group deliberations. The service location is confirmed as the Tanzania Dar es Salaam International Convention Centre, Ubungo, and the Translator Interpreter is expected to be physically present at the venue for the entire engagement period.

The Translator Interpreter must hold a minimum of five (5) years of documented professional experience in conference interpretation, possess a recognized certification from a body such as the International Association of Conference Interpreters (AIIC) or the Tanzania Institute of Professional Interpreters, and demonstrate fluency in all three target languages. The Translator Interpreter shall also be responsible for translating all written briefing documents, agendas, and post-event summaries from English into Swahili and French prior to each session.

The Translator Interpreter shall report to the Tanzania Dar es Salaam International Convention Centre on 22 June 2025 for pre-event briefing and equipment setup. Active interpretation services shall commence on 23 June 2025 and conclude on 27 June 2025. All services are to be rendered exclusively within the premises of the venue in Tanzania Dar es Salaam unless otherwise directed in writing by the Buyer. The Translator Interpreter is expected to be available between 07:00 and 20:00 East Africa Time (EAT) on all scheduled service days.

• Payment shall be made within thirty (30) calendar days from the date of receipt of a valid tax invoice from the Supplier, following satisfactory completion of all services outlined in this Purchase Order.
• A mobilization advance of twenty-five percent (25%) of the total contract value shall be disbursed within seven (7) days of the Supplier's written acceptance of this Purchase Order.
• Payment shall be made via bank transfer to the Supplier's designated account in Tanzanian Shillings (TZS) or, at the Buyer's discretion, in United States Dollars (USD) at the prevailing Tanzania Dar es Salaam commercial bank rate.
• Any disputed amounts shall be resolved within fourteen (14) days of written notice, and undisputed portions shall be paid on the original schedule.

• The Translator Interpreter shall maintain strict confidentiality of all discussions, documents, and proprietary information encountered during the engagement in Tanzania Dar es Salaam. A Non-Disclosure Agreement (NDA) must be executed prior to the commencement of services.
• The Supplier warrants that the Translator Interpreter assigned to this Purchase Order is fully qualified, insured, and free from any conflict of interest with any party attending the summit.
• In the event the assigned Translator Interpreter is unable to perform due to illness or other unforeseen circumstances, the Supplier shall provide a qualified replacement of equivalent or higher standing within twenty-four (24) hours, at no additional cost to the Buyer.
• The Buyer reserves the right to terminate this Purchase Order with fourteen (14) days' written notice if the Translator Interpreter fails to meet the quality standards stipulated herein, in which case payment shall be limited to services rendered up to the date of termination.
• All services shall comply with the applicable laws of the United Republic of Tanzania, including but not limited to the Tanzania Revenue Authority (TRA) regulations and the Tanzania Dar es Salaam City Council operational guidelines for event venues.
• The Supplier shall bear all costs associated with the Translator Interpreter's local transportation within Tanzania Dar es Salaam during the service period, including travel between the accommodation and the venue.
• Force majeure events, including but not limited to natural disasters, government-mandated closures, or public health emergencies affecting Tanzania Dar es Salaam, shall excuse timely performance without penalty to either party.

By signing below, both parties acknowledge and agree to all terms, conditions, and specifications set forth in this Purchase Order for the engagement of a Translator Interpreter in Tanzania Dar es Salaam. This document constitutes a binding agreement between the Buyer and the Supplier upon execution by both authorized representatives.
