- Event Filming: The Videographer shall be on-site in Belgium Brussels from 22 September 2025 through 24 September 2025, arriving no later than 07:00 CET each day for setup.
- Highlight Reel Delivery: The Videographer shall deliver the final 12-minute highlight reel no later than 12 October 2025.
- Interview Clips Delivery: All six speaker interview clips shall be delivered no later than 18 October 2025.
- Raw Footage Archive: The complete raw footage package shall be delivered to the buyer's office in Belgium Brussels no later than 25 October 2025.
- Payment shall be made via bank transfer to the account of Lumière Visual Productions BV, IBAN: BE68 5390 0754 7034, BIC: GEBABEBB, within 30 days of receipt of a valid invoice.
- A 40% advance payment (EUR 7,816.60) is due upon acceptance of this Purchase Order.
- The remaining 60% balance (EUR 11,724.90) is due upon final delivery and written acceptance of all Videographer deliverables.
- All amounts are stated in Euro (EUR) and are subject to Belgian VAT at the applicable rate.
- This Purchase Order is governed by the laws of Belgium. Any disputes arising from this Purchase Order shall be subject to the exclusive jurisdiction of the courts of Brussels, Belgium.
- The Videographer warrants that all footage captured in Belgium Brussels shall comply with applicable Belgian data protection regulations (GDPR) and that all necessary consents and location permits have been obtained prior to filming.
- The Videographer shall carry professional liability insurance with a minimum coverage of EUR 1,000,000, valid throughout the duration of the engagement in Belgium Brussels.
- Intellectual property rights in all final deliverables shall transfer to Brussels Media & Events S.A. upon full payment. The Videographer retains the right to include selected clips in a professional portfolio, subject to prior written approval from the buyer.
- The Videographer shall provide a minimum of 48 hours' notice for any cancellation or rescheduling. Cancellations by the buyer within 7 days of the event date shall incur a 50% fee on the total Purchase Order value.
- Force majeure events, including but not limited to severe weather affecting drone operations in Belgium Brussels, shall be addressed through mutual written agreement.
- This Purchase Order becomes effective upon signature by both parties and remains valid until all obligations have been fulfilled or the validity expiry date has passed.
