• 1. Validity: This Quotation Estimate is valid for a period of ninety (90) calendar days from the date of issue. After this period, all rates and availability of the Librarian team must be reconfirmed in writing.
• 2. Payment Terms: Invoicing shall be performed on a monthly basis, payable within thirty (30) days of the invoice date via bank transfer to the account held at BNP Paribas Fortis, Brussels, Belgium. A late payment penalty of 1.5% per month shall apply in accordance with Belgian commercial law.
• 3. Service Delivery: All Librarian services shall be rendered at the client's designated premises in Belgium Brussels, Monday through Friday, 08:30–17:30, excluding Belgian public holidays as published in the Official Gazette.
• 4. Confidentiality & Data Protection: The Librarian team shall adhere strictly to the Belgian Data Protection Act (Law of 30 July 2018) and the EU General Data Protection Regulation (GDPR). All patron records and institutional data shall be processed solely for the purposes defined in this Quotation Estimate.

• 6. Cancellation & Termination: Either party may terminate the service agreement with sixty (60) days' written notice. In the event of early termination, the client shall be liable for all services rendered up to the termination date plus a 10% administrative fee.
• 7. Applicable Law & Jurisdiction: This Quotation Estimate and any resulting contract shall be governed by the laws of Belgium. Any disputes shall be submitted to the competent courts of Brussels, Belgium Brussels, or to the Chamber of Commerce and Industry of Brussels-Bruxelles-Capitale for mediation.
• 8. Insurance & Liability: Brussels Knowledge & Archives Services S.A. maintains professional liability insurance with a coverage of €5,000,000. The Librarian team shall be covered under the Belgian social security and occupational accident insurance schemes.
• 9. Force Majeure: Neither party shall be held liable for delays or non-performance caused by events beyond reasonable control, including but not limited to natural disasters, pandemics, or government-mandated closures in the Belgium Brussels region.
