The scope of the Photographer engagement includes, but is not limited to, the following deliverables:

• Full-day on-site coverage (8 hours per day) across all three event days at the Centro de Convenções Ulysses Guimarães and any secondary venues within Brasília.
• Professional event photography capturing keynote speeches, panel discussions, networking sessions, award ceremonies, and candid attendee moments.
• Post-event editing and retouching of a minimum of 300 high-resolution images per day, delivered in both JPEG and RAW formats.
• Creation of a private online gallery for the client to review, select, and download all final images within five (5) business days of the event conclusion.
• One (1) dedicated Photographer assistant for equipment management, lighting setup, and secondary angle coverage during peak sessions.
• Travel and accommodation coordination within the Brasília region, including transport between the studio in Asa Sul and the event venue.

This Quotation Estimate proposes the following payment schedule to ensure a smooth collaboration between the Photographer team and the client:

• 40% advance payment (R$ 16,378.40) due upon signing of the service agreement, no later than 15 August 2025.
• 40% interim payment (R$ 16,378.40) due on the first day of the event (10 September 2025).
• 20% final payment (R$ 8,189.20) due within ten (10) business days after delivery of the final edited gallery.

All payments shall be made via bank transfer (TED/PIX) to the account details provided in the formal service contract. Late payments are subject to a monthly interest rate of 1.5% in accordance with Brazilian commercial law.

• This Quotation Estimate is valid for thirty (30) calendar days from the date of issue. After this period, pricing may be revised to reflect changes in operational costs, equipment availability, or market conditions in Brazil Brasília.
• The Photographer and all supporting personnel are fully insured under professional liability and equipment insurance policies registered in the Distrito Federal.
• All images produced under this engagement remain the intellectual property of the Photographer until final payment is received in full. Upon receipt of the final payment, the client receives a perpetual, royalty-free commercial licence for the delivered images.
• Cancellation by the client more than 30 days before the event incurs a 20% fee on the total Quotation Estimate amount. Cancellation within 30 days incurs a 50% fee. Cancellation within 7 days is non-refundable.
• Force majeure events, including but not limited to severe weather affecting Brasília, government-mandated closures, or public health emergencies, may result in rescheduling without penalty to either party.
• This Quotation Estimate does not constitute a binding contract. A formal service agreement must be executed by both parties before any work commences.
