- Validity: This Quotation Estimate shall remain valid for a period of thirty (30) calendar days from the date of issue. Any acceptance beyond this period will require re-issuance and may be subject to revised rates, particularly for accommodation and airfare components tied to Japan Tokyo market fluctuations.
- Payment Schedule: A deposit of 40% of the total amount is due upon signed acceptance of this Quotation Estimate. The remaining 60% shall be settled within fourteen (14) business days following the Professor's completion of all scheduled engagements in Japan Tokyo.
- Taxation: All amounts stated in Japanese Yen (JPY) are exclusive of applicable consumption tax (currently 10% in Japan). Withholding tax obligations for the Professor's honorarium shall be handled in accordance with the Japan–home country double taxation treaty, where applicable.
- Cancellation Policy: Cancellation by the host institution within 60 days of the scheduled start date incurs a 25% penalty. Cancellation within 30 days incurs a 50% penalty. Cancellation within 14 days of the Professor's arrival in Japan Tokyo incurs a 100% penalty on non-refundable items (airfare, accommodation).
- Intellectual Property: All lecture materials, research outputs, and workshop content developed by the Professor during the engagement in Japan Tokyo shall be jointly owned by the Professor and the host institution, as stipulated in the separate Memorandum of Understanding (MOU) to be executed prior to commencement.
- Force Majeure: Neither party shall be held liable for non-performance resulting from natural disasters, government travel restrictions affecting entry into Japan Tokyo, or other events beyond reasonable control.
By signing below, the authorized representative of the host institution confirms acceptance of this Quotation Estimate and authorizes the engagement of the Professor under the terms, conditions, and financial provisions outlined herein for delivery of services in Japan Tokyo.
