This Quotation Estimate is prepared by Harbour Light Productions Ltd, a registered professional Videographer operating throughout New Zealand Auckland and the wider Waikato region. The following services are proposed for the production of a corporate event video package for Pacific Crest Events Ltd's annual gala dinner, scheduled to take place at the Auckland Convention Centre on 28 September 2025.
As your dedicated Videographer, our team will provide comprehensive pre-production planning, full-day on-site filming coverage, professional post-production editing, and delivery of a polished final video suitable for corporate distribution, social media platforms, and internal stakeholder presentations. All work will be conducted in accordance with New Zealand's Privacy Act 2020 and applicable copyright legislation.

- This Quotation Estimate is valid for thirty (30) calendar days from the date of issue. Should the client wish to proceed after the expiry date, the Videographer reserves the right to re-quote based on current availability and prevailing market rates in New Zealand Auckland.
- Payment terms: A non-refundable deposit of 40% ($3,942.20 incl. GST) is due upon acceptance of this quotation to secure the filming date. The remaining 60% balance ($5,913.30 incl. GST) is due within fourteen (14) business days of final video delivery.
- All payments are to be made by EFT to Harbour Light Productions Ltd, Bank: ANZ New Zealand, Account: 01-0234-56789012-001, Reference: QTE-2025-AKL-0387.
- The Videographer shall deliver a rough cut for client review within twenty-one (21) business days of the filming date. One (1) round of revisions is included in the post-production fee. Additional revision rounds will be charged at $185.00 per hour.
- Final delivery format: ProRes 422 HQ master file (4K UHD, 3840x2160, 25fps) delivered via secure cloud link, plus MP4 H.265 social media versions. All files will be watermarked until full payment is received.
- Intellectual property: Upon full and final payment, all rights to the finished video product transfer to the client. The Videographer retains the right to use short excerpts (no longer than 30 seconds) in their professional portfolio and showreel, subject to prior written approval from the client.
- Cancellation policy: Cancellation by the client more than fourteen (14) days before the filming date will result in forfeiture of the deposit only. Cancellation within fourteen (14) days will incur a 50% penalty on the total contract value. Cancellation by the Videographer for any reason (excluding force majeure) will result in a full refund of all monies paid.
- Force majeure: Neither party shall be liable for failure to perform due to events beyond reasonable control, including but not limited to severe weather affecting New Zealand Auckland, natural disasters, government-mandated closures, or civil unrest.
- This quotation is governed by the laws of New Zealand. Any disputes arising from this agreement shall be resolved through the Disputes Tribunal of New Zealand or, where the amount exceeds the Tribunal's jurisdiction, the District Court of Auckland.
- All footage captured is subject to New Zealand's Privacy Act 2020. The Videographer will obtain written consent from all identifiable individuals appearing in the final video prior to distribution.
By signing below, the client acknowledges and accepts this Quotation Estimate in full, including all terms and conditions outlined above. The Videographer confirms availability for the proposed filming date and agrees to deliver the services as described.
