The Videographer engagement covers a full-day corporate event production scheduled for August 15, 2025, at the George R. Brown Convention Center, 1001 Avenida de las Americas, Houston, TX 77010, United States. The Videographer team will arrive on-site at 7:00 AM for setup and will remain until 9:00 PM to capture all scheduled programming, keynote addresses, panel discussions, networking sessions, and closing remarks. Post-production editing, color grading, and delivery of final assets will be completed within fourteen (14) business days following the event date.

1. This Quotation Estimate is valid for thirty (30) calendar days from the date of issue. After the expiration date, pricing for Videographer services may be subject to revision based on market conditions, equipment availability, and scheduling demand in the United States Houston area.
2. A non-refundable deposit of fifty percent (50%) of the total Quotation Estimate amount, totaling $4,556.19 USD, is due upon acceptance to secure the Videographer team's date. The remaining balance of $4,556.19 USD is due within ten (10) business days following final delivery of all edited assets.
3. All Videographer services will be performed in and around the United States Houston metropolitan area. Travel beyond a 25-mile radius of the designated venue will be billed at $1.25 per mile, one-way, in addition to the base travel fee listed in this Quotation Estimate.
4. The Videographer team is fully insured with General Liability ($2,000,000) and Professional Liability ($1,000,000) coverage. Certificates of Insurance naming the client as additional insured may be provided upon request prior to the event date.
5. Client is responsible for obtaining all necessary permits, venue access credentials, and FAA drone authorization for the United States Houston location. Bayou City Visual Productions LLC will assist in the permitting process at no additional charge.
6. Two (2) rounds of revisions are included in the post-production editing line item. Additional revision rounds will be billed at $250.00 per round. Final approval of deliverables must be provided in writing within five (5) business days of the initial delivery.
7. All footage, raw and edited, remains the intellectual property of the client upon full payment. Bayou City Visual Productions LLC retains the right to use up to thirty (30) seconds of footage in its own portfolio and marketing materials unless a separate non-disclosure or exclusivity agreement is executed.
8. In the event of weather-related cancellation or rescheduling (applicable to drone operations in United States Houston), the Videographer team will make reasonable efforts to reschedule within a 14-day window at no additional cost. Cancellations by the client within 72 hours of the event date will result in forfeiture of the deposit.
9. This Quotation Estimate does not constitute a binding contract until both parties have signed and returned the acceptance page. All disputes arising from this engagement shall be governed by the laws of the State of Texas, United States, with venue in Harris County, Houston.
10. Payment may be made via ACH transfer, certified check, or corporate credit card (Visa, Mastercard, Amex). A 3% convenience fee applies to credit card transactions. Late payments will accrue interest at 1.5% per month.
